Full Job Description

The Office Assistant will play a vital role in supporting the day-to-day operations of our design office. You will be responsible for a wide variety of administrative tasks, from sorting design samples to managing expenses and raising purchase orders (POs). If you enjoy working in a fast-paced, creative environment and are highly organised with excellent multitasking skills, this role is for you.,

  • General Administrative Support: Provide administrative support to the team, including filing, organising calenders, handling correspondence, and organizing office documents.
  • Sample Management: Assist with sorting and organizing design samples, ensuring they are cataloged and easily accessible for the design team.
  • Purchase Orders (POs): Raise and manage purchase orders, liaising with suppliers to track deliveries and ensure orders are accurate and timely.
  • Expense Management: Collect and manage expense reports, ensuring they are recorded accurately, approved by the necessary parties, and submitted in a timely manner.
  • Inventory & Office Supplies: Monitor and replenish office supplies, including stationery and design materials, ensuring the team has what they need at all times.
  • Client & Vendor Coordination: Help coordinate communication with clients and vendors, arranging meetings and managing calendars.
  • Data Entry: Update databases, spreadsheets, and project management tools to ensure accurate records of orders, expenses, budgets, and schedules.
  • Office Organization: Maintain an organized and tidy workspace, including filing systems, meeting rooms, and shared areas.
  • Support to Design Team: Assist the design team with ad hoc tasks, including project research, sample preparation, and presentation assembly.
