Full Job Description

  • Meeting and greeting of our clients and all other guests
  • Supporting daily office operations and ensuring a seamless client experience
  • Maintaining the reception, client suite, and office areas to meet our standards
  • Arranging refreshments for both client and other external meetings, as well as internal meetings when required
  • Managing the London office's meeting room schedule and tracking usage for reporting to the Head of HR
  • Handling switchboard calls and promptly delivering messages
  • Coordinating client gifts
  • Ordering and maintaining stock of stationery and branded supplies
  • Organising company travel and accommodation arrangements
  • Repairing any manageable faults with all office equipment
  • Liaising with external facilities contractors, including maintenance and cleaning teams
  • Supporting the Head of HR in upholding Health & Safety standards and completing required actions
  • Sorting and scanning all incoming mail for internal distribution
  • Handling printing requests with accuracy and efficiency
  • Franking outgoing mail and arranging couriers
  • Conducting facilities inductions for new hires and preparing welcome gift bags
  • Planning and supporting in-house events and corporate entertainment
  • Maintaining relationships with building management, contractors, and suppliers
  • Providing ad hoc IT support
  • Managing key holder responsibilities, including office alarm systems and out-of-hours emergencies
  • Assisting the Head of HR and wider team with additional tasks as needed
