Full Job Description

We're looking for an Office Manager to oversee the day-to-day running of our London office, while supporting our global team remotely where necessary. The role is varied and dynamic with the opportunity to contribute across our wider business. Core duties will include covering reception, support for travel arrangements and broader office and facilities management.,

  • Be the first point of contact for our London office, welcoming guests and managing enquiries via phone, email or in person in a timely and approachable manner

  • Build and maintain good working relationships with all employees, providing excellent support across our global team

  • Responsible for all facilities management including liaising with maintenance companies, suppliers, building management and cleaners

  • Manage our business travel account with Egencia (UK & US), supporting travel arrangements for our global team, ensuring travel insurance information is up to date

  • Develop and maintain Health & Safety policies, procedures, arrangements and reporting, including fire and first aid

  • Responsible for all employee desk assessments for employees based in the office and remotely, including equipment supply

  • Track and monitor office budgets, authorising invoices for all office services

  • Ensure all office supplies are ordered and replenished

  • Ensure that the office is kept clean, tidy and organised throughout, creating a welcoming environment for employees and visitors

  • Deliver new hire onboarding for those coming to the office for the first time

  • Maintain seating plan and arrangements, including management of our hot desking system (Deskbird) including monthly reporting to the Chief People Officer

  • Sorting incoming and outgoing post and couriers, both locally and internationally

  • Manage all in house security systems, intruder alarm, access control and CCTV with building security and our IT team

  • Project management for offsite and inhouse team events

  • Support our Eco team with collection of data for reporting on office energy usage

    We're looking for a proactive and solutions focused individual who is looking forward to joining a passionate People team, focused on continuously improving life at Foundry for our teammates. You'll also be a core member of our Social Committee, thinking creatively about office-based and remote events that our people will enjoy, finding ways to connect our London team and remote colleagues across the business. You'll have prior experience in a Reception or Office Management role, excellent communication and organisational skills and a willingness to get stuck in to whatever the job requires., +3 years of relevant experience in a Receptionist or Office Management capacity

  • Highly organised and conscientious with good attention to detail

  • Excellent interpersonal written and verbal communication skills

  • Skilled in effective prioritisation of workload with the ability to context shift across a range of tasks while delivering to agreed timescales

  • Good knowledge of Microsoft Office and Google Suite, particularly Calendar

  • Resourceful; using initiative to solve problems in the most efficient ways

  • Results-driven with a focus on continuous improvement

  • Able to interface with all levels of the business effectively

  • Experience coordinating business travel

  • Experience organising offsite events is desirable
