Full Job Description

The operations manager will be responsible for the planning, coordination, and execution of events. This role requires a blend of operational expertise, project management skills, and a passion for delivering memorable experiences. The successful candidate will manage all aspects of event operations, from logistics and vendor management to on-site coordination and post-event evaluations. Role Accountability and Duties:

  • Event Planning and Coordination:
  • + Oversee the operational planning and execution of events from inception to completion + Develop detailed event plans, including timelines, budgets, and resource allocation.
  • Logistics Management:
  • + Manage event logistics, including venue selection, setup, and teardown. + Coordinate transportation, accommodations, and catering services as required. + Ensure all technical requirements are met, including AV equipment and staging.
  • Vendor and Supplier Management:
  • + Source and negotiate with vendors, suppliers, and contractors. + Establish and maintain strong relationships with external partners. + Monitor vendor performance and address any issues that arise.
  • Team Management:
  • + Conduct pre-event briefings and training sessions for team members. + Foster a collaborative and positive working environment.
  • On-Site Event Management:
  • + Serve as the primary point of contact during events, addressing any issues that arise promptly. + Ensure all event elements are executed according to plan and to the highest standards. + Oversee the setup, execution, and breakdown of event activities.
  • Budget and Financial Management:
  • + Develop and manage event budgets, tracking expenses and ensuring cost-effectiveness. + Prepare financial reports and provide recommendations for cost-saving measures.
  • Client and Stakeholder Communication:
  • + Maintain regular communication with clients and team, providing updates and addressing concerns. + Collect feedback from clients and attendees to assess event success and areas for improvement.
  • Post-Event Evaluation:
  • + Conduct post-event evaluations to assess outcomes and identify areas for improvement.

  • Proven experience (typically 18 2-3 years) in event planning and management.
  • Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.
  • Excellent communication and interpersonal skills.
  • Proficiency in event management software and tools.
  • Ability to work under pressure and handle unexpected challenges effectively.
  • Flexibility to work irregular hours, including evenings and weekends, as required.
  • Preferred Qualifications:
  • Experience using in Aventri/Stova, Evessio, Crowdcomms
  • Experience organising conferences and awards ceremonies
  • Strong network of industry contacts and vendor relationships.
