Full Job Description

To achieve this ambition, we are looking for Out of Court Resolution Hub, Administrator. This is a central role in our team, and we need an enthusiastic individual to provide a customer focused service that responds to policing and crime related investigations by building positive, collaborative relationships with police colleagues and criminal justice partners. We are looking for a motivated individual, who is able to use their own initiative to proactively track and manage cases through the central team from initial referral, the decision-making panel and beyond to the decided outcome. This role is based at Guildford Police Station. To support the force's commitment to provide an agile and flexible workforce, you will have the opportunity to work flexibly where appropriate. You will be provided training for the role including our computing systems and databases as well as trauma informed practices and restorative interventions to support your competency in the role. The Administrator role is key to the successful and smooth operations within Surreys Adult and Youth Out of Court Resolution Hub. You will be the gatekeeper as well as front of house to our team.,

  • Working within Out of Court Resolution Hub, and liaising with team members; Checkpoint Navigators/case workers, youth workers and the supervisors as well as partners within the Surrey County Council Youth services, Women's Support Centre, York Road Housing Project, Mental Health and Drug/Alcohol support services (to name a few).
  • Assisting in spreadsheet and file preparation for the weekly multi-agency Joint Decision-Making panel.
  • Creation and maintenance of spreadsheets, maintain diaries, producing letters and regular performance and data reports for senior managers.
  • Responding to queries via the telephone from internal staff as well as external members of the public and providing information, advice or referring to the appropriate member of staff.
  • Managing and responding to the central email; fielding enquiries from internal staff, external agencies and partner services and ensuring these enquiries are promptly and effectively dealt with Contacting victims of crime to gather their wishes for the outcome prior to their case being heard at the weekly joint decision-making panels.
  • Attend the weekly joint decision-making panels, provide any required updates from victims, record the minutes for dissemination to the attendees.
  • Manage the receipt and dispatch of internal and external mail.
  • Maintain and access databases including PNC, Niche and ECINS for administrative and operational purposes ensuring full confidentiality.
  • To complete all procurement requests and order stationary for the team.
  • To support the Checkpoint coordinator as and when required, as well as supporting any additional training for new personnel.

  • Proven ability to work to strict deadlines, managing a high personal workload whilst balancing competing demands without the need for close supervision Experience of first line customer service communications Competent in the use of IT, including Microsoft packages or equivalent particularly Excel.
  • Collating and maintaining digital records and databases to allow for easy and timely retrieval.
  • Good interpersonal skills, teamwork and a customer service approach to be able to deal with enquiries and when appropriate influence and negotiate with both policing colleagues and external partner agencies both verbally and in writing.
  • Be able to work effectively as a member of a large team, whilst also being confident and competent to work independently within key role.
  • The ability to produce clear, legible, concise and accurate reports/records.
  • Be able to identify potential issues such as missing or incomplete documentation and to proactively take action to seek a resolution.
  • Ability to achieve and maintain the internal police databases.
  • In line with this, as technology advances, the administrator will need to demonstrate the willingness to embrace change and make suggestions for improvements.
  • The ability to quickly assimilate a reasonable working knowledge of the structure of Surrey Police, administrative policies and practices and an evidential awareness.

    The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.
