Full Job Description

Be /become fully conversant with the processes and procedures that are in place to identify and charge patients who are Overseas Visitors and Private Patients To assist in the smooth running of the business of the Overseas Visitor & Private Patients Services. Assess patients against eligibility criteria and refer very complex cases to the Overseas Visitors and Private Patients Officer. Input details accurately onto Overseas Visitors and Private Patients database and update ecamis and other hospital database systems. Ensuring the correct codes are accurately recorded for Overseas and Private Patients care pathway. Deal with all levels of correspondence and telephone enquiries relating to all patients/and relatives/other partner providers. Including difficult conversations which could be sensitive and contentious. Discuss with patients/ and relatives over telephone or email to secure relevant documentation where appropriate. Assist with ensuring that the database of Overseas Patients is
accurate, and complete as per daily Management reports produced according to departmental KPIs and SOPs To participate in supporting system and process change To assist in all duties that relate to the department when required. To provide excellent patient and staff service, to both internal staff, line managers employees and to external people, eg: patient, visitors and their relatives. Maintain excellent quality in own work with detail to accuracy. Request / retrieve or access medical information on patients when required using electronic NHS Healthcare records system. Book and change interviews / appointments when required to assist in evidence checking process. Data Entry, utilising electronic system, review, edit and amend or update information on MYTT Overseas database and local healthcare systems ensuring staff follow GDPR regulations. File and retrieve patient information using electronic system. Keep written tasks and documents/ forms up to date. Scanning documents and saving in
folders and database. Communicate with patient/ colleagues / third party/ external contacts which requires tact or persuasive skills and, in some cases, to diffuse the difficult / sensitive situations. Receiving Documents via email scrutinise documents provided, deciding what is acceptable, whist using knowledge to reach decision & inform patients which requires any outcomes. Emailing patients: Composing emails with adapting & adding additional wording to templates when necessary, maintaining a high standard of literacy. Maintain post, send patient correspondence using assigned templates letters from OV and PP Database systems. Compile & formulate reports to reflect current inpatients, using tools to manipulate data & covert into spreadsheet format. Assess inpatient data to determine patient charging codes. Highlighting urgent chargeable patents or query patients to the Overseas Visitors Officer/Manager. Responding to queries and requests for information working within local
processes, polices, government guidance. Access to Primary care (Summary Care records) patient records system daily, to review patient information and charging status for Overseas Patients Assist with distribution of information / posters within the Divisions across the three sites and within the Community. Compile contact lists and update as necessary (Divisions, GPs, Charities, Home Office, Department of Work and Pensions), Police. Demonstrate effectively and sensitively in a professional manner excellent communication skills, working relationships with all staff within the Department and the wider hospital environment, general public and with partners external to the Trust. To plan, prioritise, organise and manage own workload and to have the ability to deal with frequent interruptions, which will regularly involve changing from one activity to another. To work as part of a team and to be responsible for ensuring all incoming work is prioritised and handled within
appropriate timescales, seeking advice where necessary, working towards Standards Operating Procedures (SOPs), Flow Diagrams and Key Performance Indicators (KPIs). Ensuring that all outgoing material reflects a high standard according to the corporate style. Demonstrate behaviour that supports the Trust Values and core principals of teamwork, caring and compassion, diversity and culture, respect, innovation and improving, learning and trustworthiness. Collating and distributing information to help market the services. Accompany the OVO / OVM on the ward whilst interviewing patients whilst following the infection control bare below elbow. To undertake any other duties as requested by the Overseas Visitor & Private Patients Service Manager or Trust Lead Overseas Visitors & Private Patients that may be reasonably requested to facilitate the smooth running of the Services ensuring confidentiality is upheld at all times Participate annually in identifying, developing and
agreeing your own development plan with your immediate line manager. Attend all Trust mandatory training and local department job role/task specific specialist training.
