If it works for the service, we will do our best to make it work for you., The Workforce, Training and Education directorate in the East of England are recruiting a Business Officer and Personal Assistant (PA) to work as part of the Delivery, Operations and Business Team.
The Business Officer and Personal Assistant will provide administrative and personal assistant services to the Director of Workforce Strategy and Supply, whilst also supporting day-to-day business and operations across the directorate for the Delivery and Operations Senior Manager.
The role is required to support the Director to carry out their duties and portfolio areas by providing complex diary management, inbox management, logistical arrangements, preparing presentation materials, drafting reports and correspondence, programme/project support and by working across the wider teams. The postholder will also hold responsibilities across various business areas and will work closely with the wider team to ensure smooth running of the Delivery, Operations and Business Team.
Please be aware that interviews will take place face-to-face in Victoria House, date to be confirmed.
Role will require attendance at Vic House on a minimum of a weekly basis to support in person meetings, and may require ad-hoc travel across the region or wider footprint e.g. London offices., Organise face-to-face and virtual meetings, including preparation of agendas, minute taking, tracking actions and timeframes.
Provide effective diary management for the Director of Workforce Strategy and Supply.
Assist team with the setting up and management of effective business processes.
Handle significant quantities of confidential and sensitive information in an appropriate manner, maintaining confidentiality, discretion and trust.
Organise and manage internal and external events, arranging venues, assisting with travel arrangements and sending/managing invitations.
Provide papers and other documentation as requested within organisational timeframes and supporting team members to understand their priorities and work requirements.
Provide administrative support to the Director and the wider team for varying projects .
Maintain up to date knowledge of organisational processes and policies.
Have a flexible approach to work in line with the needs of the business.
Use own initiative to provide effective and accurate communication on behalf of the Director when needed, managing demands, priorities and communication effectively and solving simple queries appropriately.
Act as point of contact for the Director of Workforce Strategy and Supply and provide professional, high-quality administrative support.
