Full Job Description

To provide a comprehensive administrative service to the Paediatric management and SUDIC teams. The post holder will be required to provide administrative support for appropriate CBU operational and governance meetings and meetings with external partners, they will regularly deal with work which has Trust and Health community wide implications and can be of a highly confidential and sensitive nature.
To work independently utilising own skills and initiative without the need for supervision, in an organised, efficient and effective manner in order to maximise the use of own time. Post holders are expected to be flexible in their approach to the needs of the service., + Undertaking or coordinating high level and efficient administrative services to the CBU Management Team as required.
+ Support in the administration management of SUDIC meetings, scheduling, attending, and minuting.
+ Accountable for own actions and able to plan and organise own time, with reference to Line Manager when necessary.
+ Supporting the CBU Management Team across the whole range of their duties to include:
+ Receiving correspondence and prioritising as appropriate, allocating responsibility of response to the appropriate member of staff.
+ Establishing and maintaining filing systems (including electronic), ensuring that all information, records, minutes, and any other correspondence, is kept in a logical sequence so that it is easily retrievable, and confidentiality is maintained.
+ Carrying out audio and typing of correspondence, reports, agendas and minutes and preparing the necessary papers for meetings. This will include ensuring that all correspondence is answered promptly.
+ Ensuring all office systems are managed that support the administration of the Department e.g. ordering stationery and office supplies, managing annual leave, travel, sickness absence and ensuring appropriate cover during office hours;
+ Assisting in the organisation and administration of project areas and coordinating meetings and briefing papers as required., + Administering corporate and departmental meetings as appropriate, including scheduling, coordinating agendas, taking minutes and following up actions;
+ Maintain governance cycle of business and ensure schedule into various committees;
+ Ensuring the departmental business continuity plan is in place and kept up to date;
+ Provides, receives and manages information electronically, verbally or in writing which may be of a confidential or sensitive nature, which may involve individual, staff or patient matters or matters of commercial confidence. This will include information from the Regulators or Commissioners and the post holder must ensure this is communicated appropriately within and outside of the organisation.
+ Has a good working knowledge of existing Trust Administrative and Operational Policies and contributes to new ones as they are developed, including proposing changes to working practices in own area.
+ Answers telephone calls from the public and dealing with face-to-face enquiries, ensuring that they are dealt with in a timely, efficient and professional manner or passed on where appropriate.
+ Confident in the use of all software packages used within the Trust and be willing to train others in its use. Must be highly proficient in the use of Microsoft Office.
+ Carries out any other tasks as required, commensurate with the grade of the post.
