Full Job Description

As part of our wider People Services team (HR, L&D, FM), the People Services Administrator provides administrative support to the entire business with particular responsibility for the general switchboard and inbound/outbound post. In addition, you will meet and greet visitors, manage deliveries, assist with meeting room preparation and any other administrative tasks required. You will also be involved in various aspects of Facilities Management ensuring that our office environment not only works but is one to be proud of. Tasks and projects can be incredibly varied and you will get to work closely with people from across the business., You will need to process all inbound and outbound post i.e. open, sort, scan, distribute and stamp ready for collection. You will also need to liaise with internal customers and couriers to arrange collection/delivery of larger items.

  • Switchboard You will be the first point of contact for all inbound calls and will make every effort to stop as many calls as possible from rolling over to our automated system - we like to give our customers the personal touch.
  • Visitors You will need to meet and greet all visitors. In doing so you will make sure they're signed in, familiar with our security/health and safety practices and the person(s) they're visiting notified. You will also need to provide a comfortable wait by offering and making drinks as needed.
  • Administration & Internal Customer Service You will also provide proactive and reactive administrative support services across the entire Business Administration, Human Resources (HR), Learning and Development (L&D) and Facilities Management (FM) mix. You may be required to take and produce minutes at one of the many meetings that take place across the business.
  • Facilities Response You will assist in responding to facilities tickets and arrange for suitable remedy using our approved contractors and researching alternatives.
  • Facilities Management You will assist with matters of building maintenance including office Health & Safety. This will include maintaining our building maintenance schedule, arranging scheduled repairs/upgrades to the building and ensuring risk assessments are completed as directed (risk assessments can be completed by the PSA or by an appointed third party). You will also assist with our Health & Safety and Business Continuity Committees according to the relevant timetables, possibly taking and producing minutes as necessary.
  • Fleet Management You will be responsible for vehicle procurement, maintaining vehicle records and arranging the eventual return. In doing so, you will likely be required to research answers to our drivers' questions. You will also need to maintain our Motor Insurance Database entries to ensure all fleet vehicles are on cover.
  • Insurance Administration You will support the Office Supervisor and People Services Manager in the maintenance of business insurances. This will include document management, making claims and assisting with completion of renewal documentation.
  • Learning & Development We promote a culture of continuous learning and this role is no exception - it's not mandatory. You can take responsibility for own learning needs & objectives and work closely with colleagues to progress your knowledge & skills. If a course is of mutual benefit, we will also look to support you (both financially and time-wise)., Through natural ongoing development and training interventions the People Services Administrator could progress into more senior positions or move into other departments such as Claims.

    Good level of education (min Maths & English GCSE Grade C+) Good working knowledge of MS Office applications. Good numeracy & literacy skills. Office experience Experience of using Skype for business or working on a switchboard
