Full Job Description

We're currently looking to recruit a Personal Assistant who will provide joint support to our Group Health, Safety, Wellbeing & Sustainability Director and Group Reward Director. This role will have responsibility for providing PA and administrative support, to ensure the smooth running of the day-to-day operations of the functions., As a Personal Assistant, your day-to-day responsibilities will include, but not be limited to:

  • Pro-active diary co-ordination for our two Directors, including administrative support in arranging and servicing meetings, organising travel and preparing expense claims.

  • Monitoring the emails of the two Directors during periods of absence.

  • Collation of Responsible Business and Reward & Pensions monthly reports and updates.

  • Coordinating starters and leavers in the team, including ordering equipment, updating distribution lists and coordinating inductions.

  • Co-ordination of key meetings including workshops, and team meetings - preparation of agendas and meeting papers. Attending and taking minutes/actions of meetings and distributing to relevant parties

  • Managing all invoicing, including raising Purchase Orders and ensuring the procurement procedures are adhered to and tracked for budget management purposes.

    Previous experience within a similar role, with experience of supporting leadership and fast paced teams.

  • Effective written communication skills and excellent verbal communication.

  • Proven record of communicating and influencing across a range of audiences internally and externally.

  • IT proficiency in the use of Office 365 especially PowerPoint, Outlook and Excel.

  • Able to manage confidential information and maintain high levels of professionalism.
