Role: Personal Assistant

Lines of Reporting:Relevant member(s) of Senior Leadership Team

Hours:40 hours per week with 1h for lunch, 8:00am to 5:00pm although flexibility in working arrangements will be required. The role is term time only plus 4 weeks.

The role will include, but not be limited to, the following duties:

Responsibilities

  • Support senior leader/s to ensure effective preparations and management of workload.

  • Be aware of the roles, responsibilities and routines of allocated senior leader(s) in order to be able to provide proactive support to senior leader(s)

  • Communicate on behalf of senior leader/s, using discretion and tact to ensure telephone callers, pupils, staff, parents and visitors receive a professional response and are dealt with by the most appropriate person.

  • Secretarial support including managing calendars, minute taking for meetings, coordinating both internal and external meetings, liaising with external agencies, staff, parents and pupils on behalf of the postholders, general administrative assistance

  • Ensure that correspondence and enquiries or problems are dealt with in an appropriate manner and that strict confidentiality is always maintained, including the management of confidential papers and files.

  • School administrative support for all matters relating to Governor involvement in relation to the senior leader/s; setting up meetings, arranging visits and schedules for visits, preparation of reports including collating data and presenting in appropriate manner.

  • Draft confidential references for staff where relevant

  • Support senior leader/s with managing inbox, responses and filing emails as directed.

  • Manage and maintain rolling schedule of letters including drafting and editing

  • Drafting of speeches, reading and summarising documents.

  • Assisting and leading various aspects of the planning of school events and liaising with colleagues across the school (teaching and non-teaching) departments to facilitate their effective delivery and planning

  • Receiving instructions, scripts, recording or personal dictation and producing relevant documentation.

  • Undertake all routine office procedures such as printing, filing, collation and distribution.

  • Meet and greet visitors and order refreshments.

  • Assisting with the development of collaborative projects with The Haberdashers' Boys' School.


  • Key Relationships

  • Work closely with the other Girls' School PAs providing cover as appropriate.

  • Working closely with relevant PAs of Leaders' counterparts in the Boys' School

  • Liaise with external contractors as needed
