Full Job Description

As a Personal Assistant you will provide shared central but shared co-ordination to 2 Global Manufacturing Engineering (GME) Directors, responsible for delivering a range of administrative duties in a timely and efficient manner. You will need to be proactive in your delivery and have an adaptable working style to deal with the daily challenges as they arise. Key Accountabilities and Responsibilities

  • Diary management - prioritising the Director's time and ensure they are sufficiently briefed. Scheduling/coordinating meetings, diaries, and taking care of all travel arrangements and expenses
  • Responsibility for compiling all daily files and approvals in a timely and quality manner. Editing, proofing, formatting, document design/production, form filling, and data entry
  • Provide direction to Director on priorities, to include supporting paperwork, deadlines etc with recommendations
  • Manage Director's emails and tasks until complete, prioritising and delegating where necessary, flagging up immediate and urgent concerns and acting accordingly
  • Arrange team meetings/ town halls / monthly communications , away days as appropriate and directed to, adhering to company policy and procedures.

    Excellent communication skills across departments and technologies within GME - both written and spoken
  • Strong ability to organise to ensure objectives are met, making recommendations where appropriate with an agile and flexible approach to change - adapting last minute business priorities
  • Strong project management capabilities with excellent execution skills and the ability to multitask
  • A proactive approach, always looking ahead and ability to see beyond the short-term immediate tasks, providing recommendations and suggestions, looking at the bigger picture.
  • Highly organised with meticulous attention to detail
