Full Job Description
Personal Assistant (PA) position for the Assistant Director for Children's Safeguarding within Children, Young People and Family Services provides an excellent opportunity to provide personal assistance and business support in a highly efficient, emotive, and confidential working environment, delivering a high quality and effective service to Children's Safeguarding senior management team using own judgement and initiative to ensure senior management team is kept fully informed.
The postholder will have very good communication skills, be adept at using emotional intelligence to anticipate issues before they arise and then have excellent research and organisational skills to deal with the issues. They will also have an excellent understanding of the way the Hull City Council works and the key issues of the moment.
Maintain daily communication with the Assistant Director on behalf of individual members of staff and managers relating to case specific requests for information, liaising on behalf of Assistant Director with council services and partner organisations.
The post holder must have experience in arranging complex and operational meetings, minuting, maintaining action trackers, organise, support and provide business support for routine leadership meetings, preparing agendas, room bookings supporting facilitating of presentations etc. Support Assistant Director with priority service development projects to ensure work progresses.
Responsible for coordinating, and monitoring MP, elected members and other enquiries, process various HR and finance requests which require approval ensuring deadlines are met, ensuring information is accurate and relevant services are communicated with effectively. Assisting with information gathering for social workers career progression process and transfer protocol to aid decision making ensuring communication channels are efficiently maintained. Support the Assistant Director with HR related case discussions, following informal and formal processes.
The post holder should hold level 3 qualification, have excellent IT skills, diary management experience resolving critical and conflicting issues and demands, ability to prioritise meetings, calls and workload using own judgement and initiative to provide a responsive support, the role can be emotionally demanding, and you must be able to maintain confidentiality. Evidence continuing professional development, have extensive administration experience, have interpersonal and communications skills to essential to deliver an efficient and affective business support service at all professionals levels.
The post is based at 79 Lowgate, hybrid working arrangements are in place, you will be expected to work with other PAs to provide directorate wide cover.
