Full Job Description

As a Personal Assistant at the RFU, you will be responsible for providing an effective and efficient administration service supporting members of our Executive team, each executive team member will have different support requirements which will be agreed individually. This role sits within a wider team of Personal Assistants who support and share best practices. You will be required to cover holidays, sickness and peak periods between you. As such, this role requires a passionate and proactive individual, who is able to manage multiple priorities and build strong relationships across the business. This role may include match day facing activities and weekend working at Allianz stadium.,

  • Maintaining a good understanding of the strategic direction of the business and the Executive's goals.
  • Responsible for the proactive management of the Executive's calendar.
  • Anticipating diary/calendar changes and responds accordingly, including necessary pre-brief or debrief meetings.
  • Actively finds solutions to enable the Executives to complete tasks or attend meetings.
  • Processing Executive Director / Chair expenses in a timely manner and in line with the Travel & Expense Policy.
  • Either liaise with the support team or lead on travel arrangements (in some specific cases to include pool cars), coordinating itineraries, ensuring smooth end to end process.
  • Prepare and greet all visitors, ensuring room, access, catering and AV requirements are met.
  • Manage ticket and hospitality requests.
  • Ensuring Gift & Hospitality forms are submitted prior to attendance at external events.
  • Act as an ambassador for, and promote the best interests of the RFU, including the promotion of our culture and core values - This Rose Means Everyone: Put The Team First, Shape The Future, Respect Each Other.
  • Actively collaborate with colleagues to contribute to the development and delivery of the current strategic, business and operational plans.
  • Undertake other duties as may be required from time to time as are consistent with the responsibilities of the post and the needs of the organisation.

  • Essential:
  • Experience working with senior stakeholders.
  • Must demonstrate a thorough approach to work, and able to organise themselves effectively.
  • Handle business-sensitive information in a professional manner and maintains highest levels of confidentiality.
  • Experience in coordinating and prioritising stakeholders with differing priorities.
  • Able to demonstrate the highest attention to detail.
  • Proficient in working with Microsoft applications.
  • Able to communicate effectively with stakeholders internally and externally, at all levels.
  • Able to work independently and able to take initiative.
  • Is flexible and adaptable in taking on new tasks or supporting other areas of the business when required.
