Full Job Description

The successful candidate will provide a high level of administrative support to the promoters in the Theatre Touring department. Discretion, excellent communication and great people skills are vital to the success of this role. The Personal Assistant will be responsible for diary management, scheduling, inbox management correspondence, and will oversee the preparation for meetings, travel logistics and general administration. Effectively communicating and interfacing with people at all levels inside and outside the company and within the entertainment industry. Experience of working in an international business dealing with multiple countries and cultures and knowledge of the music industry would be a plus.,

  • Provide extensive diary management for the Promoters - including arranging internal and external meetings, events and conference calls
  • Inbox management, with an understanding of the promoters' priorities and practising a high level of discretion
  • Assist the promoters by carrying out administrative and private office assignments as required
  • Liaise with heads of department across Cuffe & Taylor and Live Nation and high-profile external stakeholders
  • Screen calls/incoming mail - be an effective gatekeeper; take messages efficiently and accurately; receive visitors
  • Carry out any research and prepare findings in a comprehensive and concise format
  • Oversight of the processing of expenses for the promoters and own company card on a timely basis.
  • Overseeing daily tasks relating to the promoter's travel, diary, and various administration tasks
  • Liaise with guest and artist requirements and welcoming and advancing of guest information
  • Main point of contact for the Director's guest ticketing and accreditation requests
  • Arranging and attending meetings and taking minutes where required
  • Booking travel, hotels etc. and diary coordination
  • General office duties and remote assistance with Zoom meetings
  • Additional duties as required by business needs and objectives
  • On occasion you will be required to attend shows in evenings and on weekends

  • Demonstrable experience in a similar role supporting at Director level within a fast-paced environment - ideally you will have supported multiple people concurrently
  • Ability to work effectively under pressure and to tight deadlines
  • Excellent attention to detail
  • Extremely well organised and self-motivated
  • Excellent command of written English with copy accuracy
  • Excellent IT skills with proven experience with Microsoft Office
  • Professional and friendly telephone manner
  • Knowledge of live entertainment industry and event management experience would be advantageous
