Full Job Description

The Personal Assistant's role is to provide support to the Directors and teams by providing efficient and effective administrative and secretarial support. Your responsibilities will include:

  • Support the Directors in producing and distributing a range of procedural documentation to agreed specifications, quality, and service standards, as well as general admin tasks.
  • Ensure all enquiries are managed within agreed SLA's.
  • Answering telephone calls and taking clear and concise messages
  • Secretarial duties including audio typing, scanning, photocopying and drafting letters.
  • Updating the company's Business Management System (BMS)
  • Diary management for Directors to include arranging appointments for site visits and meetings, travel, hotel bookings and updating the outlook calendar.
  • Responding to emails effectively and efficiently within service standards
  • Liaising with the company's key clients
  • Liaise with the wider Gateley RJA Administration team
  • At all times to comply with the requirements of the Company's administrative, personnel procedures and Health & Safety regulation

    Minimum RSA 11 or Level 2 NVQ Business Administration
  • Experience of working in a secretarial and administrative role for management at a senior level.
  • Experience in handling a broad range of customers on the telephone, providing high quality customer care and understanding.
  • Experience of working with individuals across departments and liaising with external customers
  • Enthusiastic, committed and a fast learner with previous experience of a busy environment
  • Computer literate
  • Good time management skills, solid organisational skills and the ability to prioritise a varied workload
  • Ability to work on own initiative but understand the importance of working well within the team
  • Strong communication skills - both verbal and written
