You will provide proactive, efficient administration and organisational support for three members of the Digital senior leadership team within Boots. The role is fundamental as it creates the space and time for our leaders to focus on our people and deliver for the business. This is an exciting opportunity for an experienced PA who is looking for career progression, be part of a growing team and be involved with Condor, our Digital Transformation programme.,

  • Be proactive and flexible in supporting senior leaders with critical tasks to ensure they can complete their responsibilities effectively
  • Organise, setup and communicate key functional meetings
  • Plan and prioritise agendas for regular meetings and follow up on actions
  • Prepare materials for key meetings
  • Be a point of contact for stakeholders across the business, ensuring that all internal and external stakeholders are dealt with confidently and professionally
  • If full diary support is required by leader: Manage a very high volume of meeting requests ensuring meetings are arranged according to business priorities, adapting calendars to accommodate urgent and last-minute requests
  • If lighter diary support is required: support more complex/critical meeting organisation & diary management including liaising with Condor programme team to ensure appropriate scheduling of programme and non-programme activities
  • Booking travel and accommodation arrangements, delivering the most cost effective and efficient solution
  • Expense management - tracking and accurate / on time submission
  • Supporting confidential business processes such as Performance, People and Payroll
  • System changes such as onboarding and leavers, salary changes, annual leave tracking
  • General admin support: ordering IT equipment, supporting onboarding of new team members, employment contract changes, drafting and reviewing letters, maintain an effective personnel filing system
  • Build, manage and maintain distribution lists and organisational charts
  • Resolve basic IT issues and raise to the Help Desk as required
  • Work collaboratively with the PA population, building effective relationships with them to deliver high quality support. May be called upon to provide cover for holidays, sickness and other absence.
