This role is at the heart of the business. Working alongside the LT member, this role involves managing schedules, coordinating meetings, managing correspondence, and assisting with a variety of administrative tasks as required.,

  • Estate management support (30% of role): Provide admin support to Asset Manager on all Lease, property, estate and Landlord matters.
  • Meeting Coordination: Coordinate and organise meetings, including scheduling, preparing agendas, booking venues, and arranging necessary materials or equipment. Take minutes during meetings and distribute them to relevant parties afterward
  • Key Business Meetings - support the meeting owner through the effective pro-active management of the meeting, outlining the agenda, meeting minutes and following up on actions
  • Primary Contact for internal and external stakeholders, effectively representing the LT member and maintaining professional communication on their behalf
  • Communication: communicating on behalf of the LT member both internally and externally through the day-to-day management of their inbox (where required)
  • Administrative Support: Provide general administrative support to the functional leadership team, such as managing functional events, diarising meetings and handling other ad-hoc tasks as needed
  • Diary Management: day to day diary management for the LT member and ensure that meetings are prioritised according to business need, scheduling meetings and travel arrangements
  • Relationships: develop strong, trusting relationships with senior teams and other key stakeholders such as PAs, senior leadership teams, UK&I LT, group & global colleagues
  • Confidentiality & Discretion: manage all sensitive and confidential information with the utmost discretion and confidentiality
  • Collaboration: Collaborate with the EA to the CEO and other PAs creating a culture of collaboration and continuous improvement. Part of a wider PA community which enables seamless communication and coordination across the Leadership Team, CS, Ops and Group where required
  • Key Stakeholders: This role will touch into many different parts of the business, including:
  • UK&I Leadership team
  • Functional teams across CS and Ops
  • EA/ PA community, Events Lead, Central Support ExPERience Manager

    A minimum of 3 years' experience in a similar role
  • Detail oriented, resourceful and thrive in a fast-paced environment
  • Has high attention to detail and expert organisational skills
  • Excellent written and verbal communication skills
  • Intermediate to advanced skills in Microsoft Word, PowerPoint, Excel, Outlook, Teams
  • Working with discretion and maintaining confidentiality
  • Able to manage own time and operate without close supervision
  • Able to adapt quickly to change and thrive under pressure
