Title: Personal Assistant to the Unit Director of Operations for Patient Access and Clinical Support Services and Unit Director of Operations for Surgery and Critical Care - Band 5
Base: RNOH Stanmore
Hours: 37.5 hours (full-time)
We are looking for a professional and skilled administrator to bring their ideas and postivity to support and develop business admin functions for two Unit Director of Operations for Patient Access and Clinical Support Services and Unit Director of Operations for Surgery and Critical Care.
This is an exciting role giving the individual the opportunity to work with senior staff across the whole Trust and the clinical and operational teams within the Divisions.
There is freedom to develop new systems, leading and establishing a small team of admin to ensure continuity and robustness of business admin functions., The post holder will be responsible for ensuring the smooth and effective day-to-day management of the Unit Directors of Operations including all administration and related processes, including setting up functions in the Division.
Leading on delegated projects and / or supporting teams to ensure that the portfolio of tasks/projects is planned managed and delivered effectively; and be a key member of the team whose overarching purpose is to deliver, enable, promote and support the Trust goals and strategic ambition through strong operational management.
Cover all aspects of secretarial administrative and organisational support; take minutes of meetings, draft agendas, collate and distribute meeting papers
Prioritise all correspondence, emails and enquiries and ensure the Unit Directors of Operations are made aware of matters requiring immediate attention. Where appropriate, initiate actions demonstrating a high level of judgement around confidentiality and priorities.
Manage and maintain the smooth running of the diaries, arrange meetings, appointments, and organise events for the 2 Unit Directors of Operations.

For more information, please access the following link: https://www.rnoh.nhs.uk, The post holder will work as a proactive member of the team providing high quality secretarial and administrative services to the Unit Director of Operations for Patient Access and Clinical Support Services and Unit Director of Operations for Surgery and Critical Care.
The post holder will possess excellent communication and interpersonal skills and will be capable of working effectively under pressure. They will have excellent secretarial skills and a high-level working knowledge of all Windows and Microsoft based systems, as well as a confidence in dealing and managing new software systems as they arise.
The post holder should be capable of working to schedules and using their own initiative, whilst maintaining a high level of confidentiality and discretion at all times.
The post holder is responsible for supporting the Unit Director of Operations for Patient Access and Clinical Support Services and Unit Director of Operations for Surgery and Critical Care. managing multiple complex diaries, making high level decisions on diarised commitments, to be responsible for collating and managing complex documentation, taking minutes of large meetings with rapid turnaround, and dealing with correspondence and supporting the team to ensure they function efficiently and effectively.
The post holder will act as the first point of contact for patients, public, staff and members of external organisations. The post holder will also be the first point of contact for the Unit Director of Operations for Patient Access and Clinical Support Services and Unit Director of Operations for Surgery and Critical Care. The post holder will be required to liaise and communicate with senior professionals and managers from within the Trust, and externally., The Trust uses electronic new starter forms on Trac to collect personal details. Information collected is securely stored and used to set up the employee record on the ESR HR system.
