Full Job Description

Headway Birmingham & Solihull are looking to recruit a PERSONNEL ADMIN SUPPORT to work Tuesday and Friday (10 hours per week) providing administrative services that support the smooth running of our Personnel Department.



The role requires:


1. Occasionally cover reception duties downstairs in event of receptionist absence
2. Be responsible for inputting data in all the required spreadsheets, in relation to personnel, ensuring all monitors are up to date
3. Keep our database/HR platform up to date, inputting new staff/volunteers every week to keep this accurate
4. Chase and remind staff and managers to provide car documents as required and input /scan to file once received.
5. Input other data as requested, and as new systems develop.
6. Scan documents and save to staff files as required
7. Assist to ensure staff and volunteer folders are tidy and organised.
8. Help occasionally with recruitment stands at events
9. Chase managers weekly for changes to staff and volunteers - new/finishing/change days
10. Ensure that there is always a supply ready of personnel items that need printing
11. Assist with communications from personnel as required - email/letters etc. and help with staff queries in absence of others in team
12. Develop good communication with Managers and teams.
13. Assisting the team with any basic requests as required - covering, chasing people/items/and general admin.
14. To be a part of the team and all personnel processes - e.g. to understand all that the department does and the systems in order to assist if requested.
15. Request end of month data from managers (and chase as required) and input data into our system accordingly
16. To cover/work any extra hours/days as required by the service with advance notice - e.g. team building days, absences, training, work deadlines etc.
17. Be part of/or support to create team building events and social evenings for staff
18. Be flexibly to suit the needs of the post and work fairly with the team as required, attend fully any training, coaching or team meetings etc as required, outside the normal working day
19. To be part of the Headway team, contributing to wider activities by volunteering on at least one outside of hours event and at special fund-raising events etc.
20. Uphold all Terms and Conditions of the post including covering in emergency situations as required and upholding all other policies such as Health & Safety, Equal Opportunities, etc
