Full Job Description

As our Pharmacy Administrator you will:
+ Provide administrative services for the ICB Medicines Optimisation team.
+ Coordinate and document systemwide and ICB Pharmacy and Medicines Optimisation meetings.
+ Ensure invoice processing is managed effectively, efficiently, and accurately.
+ Be a point of contact for inquiries from healthcare professionals and staff across the Integrated Care System and to direct inquiries appropriately.
+ Support the planning, delivery, and evaluation of a range of individual projects from start to completion.
+ Support maintenance of online communications via Primary Care Portal., As our Pharmacy Administrator, you will provide an administrative service for the ICB Medicines Optimisation team in conjunction with and supported by the Medicines Optimisation Administrator. You will be responsible for coordinating administrative activities for the team, including scheduling, circulation of papers and minute taking. Efficient invoice processing will also be required. The post holder will be a point of contact for dealing with Medicines Optimisation inquiries and as such will require excellent communication, organisational and analytical skills, The Integrated Care Board (ICB) is a statutory body responsible for local NHS services, functions, performance, and budgets. The ICB works with local providers of NHS services, such as hospitals and GP practices, to agree a joint plan which says how the NHS will contribute to the local integrated care strategy.

The Medicines Optimisation Team are a collaborative ICB team, based at Haylock House in Kettering, but working in a hybrid way. We contribute to services across the health economy and through delivery of the Integrated Care Northamptonshire (ICN) 10-year strategy, support people in Northamptonshire to live their best lives, with a focus on getting the most from the use of medicines., · Provide administrative/secretarial support to the ICB Medicines Optimisation team, including maintaining diaries, making room bookings, compilation and circulation of agenda papers, minute taking, typing of reports and other documents.
· To co-ordinate support systems to ensure the efficient running of the department.
· Act as an initial point of contact for enquiries from professionals, managers, and members of the public.
· To deal with routine enquiries and to ensure that the enquiries are routed to the appropriate member of the team.
· Service the meetings of the Integrated Medicines Optimisation Committee and its sub-groups as appropriate.
· Support the processing of Continuous Glucose Monitoring (CGM), insulin pump and Hybrid Closed Loop (HCL) system requests liaising with commissioning, procurement, finance, and suppliers.
· Process Prior Approvals requests for drugs and devices, monitor and maintain the Prior Approvals database for these requests, responding to requests in a timely fashion.
· Maintain databases as required using Access and Excel
· Produce PowerPoint presentations for use by members of the team.
· Use NHS Business Services Agency ePACT2 to obtain routine prescribing information and present in report form.
· Support maintenance of medicines content of the Primary Care Portal and other online communication channels for MO team.
· To design forms, guidelines, and formularies in a manner suitable for printing and dissemination. Sourcing estimates and raising requisitions as and when required.
· To provide administrative support for events, including arranging venues, visuals aids, refreshments, circulating invitations and booking delegates. Preparations of course material, accreditation certificates and evaluation forms.
· Support with planning, organisation and delivery of complex events such as key stakeholder meetings and staff / patient / community engagement activity.
· Monitoring staff travel claims, annual leave, sickness records as required. Organising corporate and in house induction programmes for new members of staff.
· Interpret complex and detailed information and determine the key messages for communication. The post-holder will work as part of a multi-disciplinary project team.
· The post-holder will be able to deliver, present and communicate multi-stranded information.
· Supporting the development and delivery of the Medicines Optimisation strategy.
Please note, there is an requirement for all positions at Bands 8b and above to be part of a On Call rota.
All new entrants to the ICB for a permanent position will be subject to a 6 month probationary period. For new entrants appointed on a fixed-term basis, the probationary period is between 1 and 6 months.
