Full Job Description

Provide administrative/secretarial support to the ICB Medicines Optimisation team, including maintaining diaries, making room bookings, compilation and circulation of agenda papers, minute taking, typing of reports and other documents. To co-ordinate support systems to ensure the efficient running of the department. Act as an initial point of contact for enquiries from professionals, managers, and members of the public. To deal with routine enquiries and to ensure that the enquiries are routed to the appropriate member of the team. Service the meetings of the Integrated Medicines Optimisation Committee and its sub-groups as appropriate. Support the processing of Continuous Glucose Monitoring (CGM), insulin pump and Hybrid Closed Loop (HCL) system requests liaising with commissioning, procurement, finance, and suppliers. Process Prior Approvals requests for drugs and devices, monitor and maintain the Prior Approvals database for these requests, responding to requests in a timely fashion.
Maintain databases as required using Access and Excel Produce PowerPoint presentations for use by members of the team. Use NHS Business Services Agency ePACT2 to obtain routine prescribing information and present in report form. Support maintenance of medicines content of the Primary Care Portal and other online communication channels for MO team. To design forms, guidelines, and formularies in a manner suitable for printing and dissemination. Sourcing estimates and raising requisitions as and when required. To provide administrative support for events, including arranging venues, visuals aids, refreshments, circulating invitations and booking delegates. Preparations of course material, accreditation certificates and evaluation forms. Support with planning, organisation and delivery of complex events such as key stakeholder meetings and staff / patient / community engagement activity. Monitoring staff travel claims, annual leave, sickness records as required. Organising corporate and in
house induction programmes for new members of staff. Interpret complex and detailed information and determine the key messages for communication. The post-holder will work as part of a multi-disciplinary project team. The post-holder will be able to deliver, present and communicate multi-stranded information. Supporting the development and delivery of the Medicines Optimisation strategy.
