Full Job Description

This role is responsible for the operational oversight and relationship with all external platform providers for distribution. Maintain the discretionary model portfolios across all platforms, owning the process to periodically and/or ad hoc oversee the Asset Allocation and Rebalance processes with all internal and external parties and the continued programme of staff training to identify any key person dependencies ensuring competency of the overall team.

Ensure that the Operations Leadership Team have access to the data required to assess performance and to make informed decisions, including the reporting of trends/performance data to enable potential issues to be managed. Develop firm level reporting to provide meaningful MI to help drive the business forward.

The role will involve providing administration support to Omnis committees and to other members of the team, including the COO and Senior Investment Operations Manager.,

  • Act as a Platform & Discretionary Fund Manager (DFM oversight subject matter expert and exercise the necessary controls within all processes.

  • Act as an initial contact point for all DFM related issues. Work closely with colleagues and Platforms to ensure issues are identified and resolved in a timely manner to minimise any potential customer risk or financial impact.

  • Allocation and support of Operations team members to complete the required processing for the DFM models.

  • Oversee and sign off tasks for each process across all Platforms.

  • Maintain user and Adviser access to the DFM models.

  • Initial training and regular feedback sessions to the Operations team for processing asset allocations and rebalances across all Platforms; thereby encouraging increased knowledge and keying confidence across the team.

  • Administer the required onboarding matrices and due diligence documentation for new DFM services.

  • Daily platform reviews to ensure the system is accessible for DFM.

  • Conduct periodic execution reviews for discretionary related activities.

  • Respond to technical queries associated with the operation and platform functionality in relation to DFM models.

  • Resolve breaches, errors and complaints.

  • Operate a range of administration tasks on a rota basis or deputise for other team members, as required.

  • Provide accurate, timely, clear and consistent management information to Operations leadership through the production of various reporting packs from Board level to local management.

  • Produce Committee packs, contributing materials from this role, and to take minutes as required.

  • Support Omnis' change management programmes. Activities could include: systems and process changes, platform migrations, discretionary product launches and supporting regulatory changes.

  • Review and maintain the Operations email boxes, resolving issues in a timely manner and assisting others where required.

  • Deputising for other members of the Operations team.

  • Maintain Omnis policies, procedures and standards for the full spectrum of activities covered by the role.

    CISI Investment Operations Certificate ("IOC"), is preferred.

  • At least 2 years dealing with platforms and model portfolios or associated role.

  • At least 2 years in the financial services sector, preferably in asset management.

  • At least 1 years' experience managing external service relationships.


  • Knowledge:
  • A good understanding of investment platforms and UK distribution structures.

  • Good UCITS collective investment scheme fund knowledge.


  • Skills and Competencies:
  • Third Party Service provider oversight management skills.

  • Able to develop and maintain effective working relationships, both internally and externally, recognising that this role is multi-disciplined.

  • Ability to listen and note important points in order to assimilate information into Committee Minutes.Witing inserts to committee packs is part of this role.

  • Observant with high "attention to detail" skills.

  • Well organised with an ability to prioritise multiple activities and see actions through to conclusion.

  • Appreciates the importance of operational controls within processes.

  • Ability to document activities and observations for operational and audit purposes.

  • The Jobholder needs be able to take initiatives from start to finish.

  • Good verbal and written communication skills.
