Full Job Description

Working as part of the BSC Admin team (and wider Rules Management team), manage the implementation of BSC Changes to the BSC Documents and provide secretariat support and administrative support to Committees and Panels (internal and external).
Job Purpose:
At the heart of this role is the requirement for a strong methodical and disciplined approach combined with the individual having an exceptional eye for detail and patient nature.
There are two primary functions to this role:
1. Provide administrative, co-ordination and secretarial support to Panel and Panel Committees, including:
+ Attend meetings and take minutes
+ Publish and submit papers, agendas, actions, headline reports, minutes, slides, including finalising and collating these items as required
+ Support development of agendas, annual meeting schedules, papers related to Committee activities e.g.
+ membership changes, meeting dates etc.
+ Arrange meetings and seek members availability
+ Support Chairs as required
+ Support members as required, such as booking travel, providing training
+ Maintain meeting and membership records, including standing list of experts and support production of management reporting as required
+ Monitor and manager relevant mailboxes
+ Process committee expenses and requisitions, as required
+ Maintain working instructions
+ Identify and implement continuous improvements
2. Ensuring all changes to the BSC (Modifications and Change Proposals) and its subsidiary documents are implemented in a controlled and auditable manner following version control methodologies. This includes:
+ Maintaining information about the BSC and its subsidiary documents both within the documents and document records and logs. For example, the Baseline Statement, which records the current live version of all controlled documents, Document Management Log and Housekeeping log
+ Review redlined (track changed) documents for quality by identifying, tracking and fixing document conflicts alongside fixing any formatting and style errors, and always adhering to company best practice
+ Publish documents and Digital Code on the website to meet Release deadlines, including updating Release pages and documentation
+ Support Change Analysts and others in relation to BSC Changes with amending documents and administrative tasks, as required
+ Liaise with Project Managers, Release Coordinators and other SMEs to ensure successful Implementation of projects and Releases
+ Monitor and manage the Document Management mailbox
+ You will be expected to participate in department or cross-company projects/initiatives as required and to undertake tasks determined by the Head of Rules Management., + Implement approved changes to BSC Documents accurately and in accordance with agreed timelines, ensuring version control for each document is maintained and ensuring that documents are published on the BSC Website correctly and at the right time
+ Progress changes to documents in accordance with defined processes and document lifecycle
+ Publish and submit committee and panel packs, including collating, finalising, reviewing (ensuring house style is followed document properties completed) of papers and presentations
+ Provide secretariat support to Committees (internal & external)
+ Build and manage relationships with customers (internal and external) so that processes are followed and completed on time and to high quality.
+ Provide training and support to new starters in the team and provide training to others in the business to advance understanding of Document Management and Committee services. This includes providing advice, support and assessment of problems that arise
+ Identify and implement improvements to the teams' processes and services
+ Maintain records and logs and support production of management reporting

+ High levels of written English, with strong attention to English grammar and spelling mistakes
+ A knowledge of or willingness to learn advanced Microsoft Word and the use of Track Changes
+ Familiar with Excel and PowerPoint and have an affinity for end user IT applications
+ Have a meticulous attention to detail and a concern for quality standards
+ Has the ability to work autonomously and as part of a team and whilst managing conflicting priorities
+ Be able to engage with and proactively build positive relationships with internal and external stakeholders
+ Be an excellent organiser and a meticulous planner
Developmental/ Desirable:
+ Experience with version control methodologies, business and process analysis
