Full Job Description

We have a great opportunity for someone to join the Service Delivery team in Birmingham as a Portal and Data Administrator. The Business Information Systems team (BIS) works to provide technology solutions that are reliable, effective and innovative allowing both our legal professionals and our clients to have access to the best quality systems and information. As a portal and data administrator you will be required to:

  • Provide portal and data administration support and ensure the timely provision of portals and accurate maintenance of financial user information within the agreed SLA's
  • Maintain detailed records in ServiceNow ticketing system and ensuring all tasks and activities are logged and updated in real-time
  • To complete daily, weekly and monthly assurance, audits and review activities in accordance with the controls defined in ISO27001
  • Maintaining the SharePoint and HighQ client gateways
  • Work with other Service Delivery personnel to ensure a consistent and high-quality support service is delivered to the business.
  • Ensure any Starter, Leaver & Employee updates are completed accurately and on time within the Gowling systems - Expert and Web Systems

    We are seeking a candidate with experience in legal or professional services, demonstrating proficiency in a variety of technologies, especially Microsoft applications. The role involves maintaining databases and online portals (including Microsoft) within business/operating areas. Your expertise should include the creation, maintenance, and understanding of cloud-based data systems such as OneDrive, SharePoint Online, M365, and Teams.
  • Additionally, experience with administering Legal Practice Management Software like Aderant Expert is required. This includes managing client/matter information, employee details, time and billing, budgets, and work groups. As a portal and data administrator, you will be responsible for data gathering, analysis, and summarization, requiring a high degree of accuracy and attention to detail while working within varying timelines. You will communicate with stakeholders and clients across the firm. The ideal candidate will possess strong written and verbal communication skills, with the ability to effectively convey technical concepts to non-technical individuals at all levels. Strong interpersonal and excellent client-facing skills are essential for liaising with clients at all levels.
