Full Job Description
We are looking for a dynamic and motivated Administrative Support Coordinator to join our team and make a real impact within the Abbey Health Primary Care Network (PCN). In this vital role, you will be at the heart of delivering a comprehensive, professional, and responsive administrative service that supports care coordination and PCN responsibilities across the Abbey Health PCN footprint. Youll work closely with our PCN Operations Manager and Strategic Manager, providing essential day-to-day support to drive current and future workstreams. Youll also collaborate with senior leaders, including the PCN Deputy Clinical Director and Clinical Director, ensuring the smooth running of operations and contributing to our mission of delivering high-quality care to the community., As an Administrative Support Coordinator, you will play a vital role in ensuring the efficient operation of the Abbey Health PCN. Your responsibilities will include collecting and analysing data from EMIS to produce reports, responding to telephone and email enquiries with professionalism and initiative, and providing essential administrative support for PCN-related meetings, including minute-taking, agenda preparation, and coordination. You will support various projects and ensure services comply with established specifications, promptly raising any issues with senior staff. Day-to-day tasks include maintaining electronic and physical records in line with information governance standards, general administrative duties, and assisting with staff training, recruitment, and induction processes. Your role will also involve conducting audits, handling enquiries with confidence, and providing regular updates to the management team. Youll organise and manage events such as PCN Away Days, training sessions, and meetings, maintaining clear and effective communication with practices and colleagues across the network. This is an exciting opportunity to contribute to the delivery of high-quality healthcare services by providing exceptional administrative and operational support in a fast-paced and collaborative environment., Data collection from EMIS for ARRS roles and the creation of reports. Receive and respond to telephone calls, e-mails and correspondence and deal with where possible, using a measure of independence, judgement and initiative. Take minutes at PCN related Meetings including staff appraisals, team meetings etc. Support agenda setting and setting up of meetings for PCNs. Provide project support as and when required. Ensure PCN services run in line with service specifications, highlighting any issues or concerns to relevant senior staff as appropriate. Provide day to day administrative and operational support on specific projects, exercising initiative. Ensure all filing is completed promptly and in-line with information governance standards and all electronic folders are maintained. General Administrative tasks for PCNs, including photocopying, filing, laminating, scanning, shredding and binding of documents. Assist in providing training to new staff as required in own areas of work and assist in the recruitment and induction of new staff. Undertake audit as required, ensuring appropriate documentation is readily available. Deal confidently and effectively with enquires. Provide regular updates to the management team as and when required. Liaise with, support, and engage with Practices as required. Organise PCN meetings, events PCN Away Days, educational events, training, etc. Maintain effective, open communication and engagement channels with colleagues. Support administrative requirements for the PCNs, ensuring that PCN members are kept informed of news and updates related to network activity. Responsibilities to Multi-Disciplinary Teams Communication and collaborative working relationships across multi-disciplinary teams. Demonstrates ability to work as a member of a team. Can recognise personal limitations and refer to more appropriate colleague(s) when necessary. Actively work toward developing and maintaining effective working relationships both within and outside the PCN or group of PCNs. Liaises with other stakeholders as needed for the collective benefit of patients including but not limited to Patients GP, Nurses, other practice staff and other healthcare professionals including pharmacists and pharmacy technicians from provider and commissioning organisations. Develop excellent working relationships with all partners, wider service networks including the voluntary sector, GP practices, adult social care, hospitals, community pharmacists and other members of the MDT. Manage and prioritise workload on a daily basis and deal with the competing demands of the MDT. Follow through with service users and others involved to ensure all services and care arrangements are in place. Confidentiality The post holder must maintain the confidentiality and security of information about patients, staff and the business of the PCN and both partnerships in accordance with the Data Protection Act 2018 and Caldicott principles. Health & safety The post-holder will support and implement on the full range of promotion and management of their own and others health, safety and security as defined in the practice Health & Safety policy, the practice Health & Safety manual, and the practice Infection Control policy and published procedures. This will include (but will not be limited to) : Using personal security systems within the workplace according to Practice / PCN guidelines. Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks across the business. Making effective use of training to update knowledge and skills and initiate and manage the training of others. Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards, and initiation of remedial / corrective action where needed. Keeping own work areas generally clean, identifying issues and hazards / risks in relation to other work areas within the business, and assuming responsibility in the maintenance of general standards of cleanliness across the business in consultation (where appropriate) with other site facility managers Undertaking periodic infection control training (minimum annually). Demonstrate due regard for safeguarding and promoting the welfare of children. - Education to GCSE Standard (Grades A-C) or Diploma / HNC Level (or relevant experience). Desirable
- NVQ in health and social care.
