Full Job Description

In this role as a Production Administrator, you will play a crucial role in managing various administrative tasks related to Production ensuring that production schedules are adhered to, materials are in place, and all administrative tasks are completed efficiently. This role is key in supporting the production team and contributing to the smooth adherence to the company CP.

Key Responsabilities

Reception and Shipment Handling

  • Pack and ship SMS, PPS and raw material samples to vendors & factories.


  • Create shipping labels. Keep track of all shipments sent and to be received, to ensure they arrive on time.

  • Flag any delays, and liaise with couriers when needed.

  • Liaise with vendors and factories on regards to shipments.

  • Maintain updated tracker of all shipments (sent & received).

  • Take care of any shipments to the office and notify relevant team members


  • Zedonk
  • Book in all raw material and finished product deliveries.

  • Notify warehouse of all deliveries.

  • Follow up all book in discrepancies with warehouse, suppliers & factories.

  • Send barcode labels to each factory and ensure there is consistency of the barcodes managed by factories and warehouse.

  • Support and assist on imputing date into Zedonk when needed.


  • Invoicing
  • Verify that the raw material and finished goods cost matches the ones of the POs.

  • Pass the invoices to finance team with relevant information for payment processing.

  • Liaise with the finance team to obtain proof of payment for advanced payments, record them on the tracker, and send to suppliers & factories when needed.

  • Keep track of the working hours of outsourced raw material and finished goods quality inspection services, and check that it matches what has been invoiced.


  • Workspace Organization
  • Administrative support to the Production team including support with booking and prepping for meetings, taking minutes & ad hoc seasonal activities.

  • Support the production team creating the seasonal production handover and other guides for manufacturers and suppliers.

  • Support the production team to keep the workspace tidy; organising, filing, and archiving samples and swatches.

  • Maintain record of all SMS/PPS/QRS sent to each factory.

  • Maintain record of all seasonal Production RM swatches at the office.

    Experience: 2-3 years of experience in a similar role preferably in textiles or fashion accessories.

  • Education: A degree or diploma in Business Administration, Production Management, or a related field is preferred.

  • Technical Skills: Proficient in MS Office (Excel, Word), experience with production planning software is a plus.

  • Knowledge of Zedonk would be a plus.

  • Fluent in verbal and written English

  • Spanish or Italian would be a plus

  • Communication & Soft Skills: Good communication skills, able to effectively share information with the team in a clear & concise way

  • Demonstrated ability to operate at pace with flexibility, initiative and solution orientated.

  • Positive attitude & strong team player.

  • Organization: Excellent organizational and time management skills. Independent and structured way of working able to prioritize meet critical deadlines.

  • Attention to Detail: A keen eye for detail to ensure accuracy in production tracking and material management

  • Analytical person with experience with large volumes of data entry, great attention to detail and accuracy, even when working at speed.

  • Team Player: Ability to work collaboratively with various departments and adapt to a fast-paced environment.

  • Must have the right to work in the UK.
