At Health Innovation Oxford & Thames Valley (HIOTV), we are excited to announce this key support position within our Clinical Innovation Adoption (CIA) team. To support the Project Management Office Manager and Director of CIA, to ensure the timely and successful delivery of the Clinical Innovation Adoption Programme as agreed by the Oxford & Thames Valley HIN Board. The post holder will work collaboratively with colleagues, engage with internal and external stakeholders, and support the wider programmes and themes when required.   • Assist with the development of study design and required methodology tools by working closely with Project Management Office Manager and Programme Managers.
  • Support the organisation of project and programme venues, workshops, training, patient and clinician interviews and surveys.
  • Collect and collate project information for analysis.
  • Ensure that the programme reports (Annual Reports, Business Plans, and Quarterly and Monthly reports) are relevant and specific, timely, detailed and tracked against the business plan milestones and KPIs and metrics.
  • To play an active part in the development and implementation of administrative and managerial procedures in the PMO, ensuring that high standards are set and maintained.
  • Provide project support, developing, documenting and implementing core project/programme processes for project delivery.
  • Support effective communication among project stakeholders, guaranteeing timely dissemination of project progress, key milestones, and alterations to project plans. Responsibilities may include drafting communication materials, coordinating meeting schedules, and documenting meeting proceedings.
  • CIA Programme
  • Take a lead role in communications activities for the CIA programme including website content management, and social media accounts.
  • Provide a comprehensive range of secretarial and administrative services to a consistently high standard. This includes:
  • o Organising and preparing meetings, formal and informal minute-taking, programme scheduling. o Arranging travel for the team as required. o Providing diary management for the Director. o Raise requisitions and purchase orders and scrutinise and reconcile all invoicing. o To provide advice and assistance to staff within CIA including documentation on recruitment, induction and appraisals. o To support the process for regular team meetings, and oversight groups setting the agenda, collating papers and reports.
  • Manage the smooth running of the CIA function in a confidential, effective and efficient manner, and act as first point of contact for all communications during core office hours. To ensure enquiries are dealt with appropriately.
  • Update the Oxford & Thames Valley HIN teams on key areas of work.
  • Act as an interface between CIA and external partners including liaison with executive and non-executive staff; patients and service users; clinicians; academics; commissioners and industry partners.
  • Ensure that all queries from colleagues and external organisations are dealt with quickly and efficiently, producing file notes as appropriate.
  • Work with other administrative colleagues in the Oxford & Thames Valley HIN to ensure the office and the phones are always covered appropriately.
