Full Job Description

As Project Coordinator, you will provide day to day support to our talented Project Management team with administrative support to all projects. Reporting to the Delivery Office Manager, you'll be at the heart of our delivery office, ensuring the seamless maintenance and sharing of project governance frameworks, artefacts, processes and standards across all portfolios, while delivering clear and consistent reporting to drive alignment and success.   • Ensure that all governance across the portfolios is aligned to the Framework and correct artefacts
  • Support the team with booking meeting rooms, facilities management, etc.
  • Support the team with preparation of meeting agendas, minutes and actions.
  • Support the finance process - raising of Purchase Orders, requisitions of invoices, alignment to PO's and accruals process.
  • Engage with the Head of Portfolio Delivery's on Risks, Issues and Milestones to ensure on track. Challenge where appropriate and escalate where necessary.
  • Reporting - work with the Head of Portfolio Delivery's to ensure reports are completed accurately, to required standards and that relevant deadlines are met. Ensure that the reports align with the Project Workbook on Resourcing, Risks, Issues and Milestones.
  • Support the Delivery Office Analyst with mailbox management (on a rotation basis).

    We are seeking a self motivated Project Coordinator to join our newly formed Enterprise Change Team!, Project lifecycle, quality assurance & governance.
  • Understand of Risk & Issue.
  • Management, invoicing and approvals
  • Meeting agenda preparation, minutes & actions.
  • Proficient in MS Project, Word, Excel, Outlook, PowerPoint.
  • PRINCE II / MSP Certification preferred.
  • Knowledge:
  • An understanding of Project Management processes and frameworks.
  • Some experience of working on projects, including using project management tools and techniques.
  • Financial Services experience is desirable.
  • Skills and Competencies:
  • Strong administrative experience - planning and organisational skills, able to prioritise and manage their own workload.
  • Strong accuracy and organisational skills.
  • Ability to collate and produce high quality documentation for Steering Group, Committees and Board presentations.
  • Skilled at managing stakeholder groups, comfortable with communicating at all levels to ensure reporting deadlines are achieved.
  • Continuous improvement looking for ways to enhance ways of working across Enterprise Change. This includes suggesting ideas to improve efficiencies, evaluating current processes, and finding opportunities to implement.
  • Strong analytical and problem-solving skills.
  • Strong written and verbal skills, with an attention to detail.
