Full Job Description
The role supports the Project Management Team throughout the course the build process of our sailing yachts (ranging from 50-100 ft long) through to client handover. The involves comprehensive project coordination and excellent client management, to ensure Oyster owners have a first-class experience throughout the build of their yacht. Project Management
- Attend daily and weekly yacht build meetings with a Project Manager and the Production team where they will support Project Reviews.
- Assist in the running of the Project Management tool (build plan) at weekly meetings and in conjunction with the Project Manager and Production Team Leaders. This will include keeping the build plan up to date.
- Liaise with the build teams to accurately record and forecast production hours. Suppliers and Costing
- Support with contractors and suppliers' schedules confidently in a number of different areas such as masts and rigging, sails, canvas work, upholstery and tenders, as guided by the Project Managers.
- Place purchase requisitions as per requirements or guided by the Project Manager.
- Assist Costings Coordinators in quoting for options and ensuring accuracy of hours allowed for options tasks. Client Meetings and Liaison
- Partner with the Project Managers and Office Support Administrator to fully prepare for client meetings, this covers room bookings, catering and required project documentation / information.
- Act as front of house for client visits, ensuring clients are welcomed, and their needs are catered for.
- Attend client and production meetings with Project Managers and capture key content and actions from the meeting to ensure productive output of the sessions.
- Lead Production Reviews and ensure follow-up actions are implemented.
- Assist Project Managers with handover of yacht to client as required. Client and Project Management Documentation
- Keep electronic and paper documentation for Client and Project Management up to date.
- Recording options and assisting in preparation of options catalogue to clients
- Submit Drawing Change Requests and Change Notes when appropriate to ensure continuous improvement.
Understanding of project management process and stages, desirable. - Knowledge of the marine industry with experience of yacht production and / or refit, desirable. Skills
- Excellent written and verbal communication skills.

- Competent user of Microsoft Office.
- Client liaison. Experience
- Customer facing coordinator / administration role experience.
- Project administration and coordination experience, desirable.
- Client meeting planning and hosting, agenda setting and note taking.
- Sailing experience, ideally including modern sailing yachts of 15m+, desirable Qualifications
- GCSEs to include Math and English or equivalent level
- Microsoft Office trained or certified, desirable
- Relevant sailing qualifications, desirable. Personal Characteristics
