Full Job Description

Support the Property team in all administrative duties to fit-out new restaurants, refurbish existing and to allow capital works. To ensure compliance, consistency and efficiency in all these activities.

Be an active team player who is able to offer administration support for the Project Managers and all Nando's restaurants. Ensure smooth and efficient running of everyday administrative activities through proficient communication abilities and excellent organisational skills.

  • Project Managers, Design Portal - managing the stock level, tracking the designer requests through to order, freight and arrival in the UK. Communication with Group and South Africa on order status and progress. Reconciling costs.

  • Photography - organising the photographers to go into the restaurants (NB, Refurb & some Capacity), raising orders and paying invoices. Uploading photos to shared drive and circulating to Marketing.

  • Design Website - uploading information onto the Group Design website (design briefs, presentations, photos). Managing all date changes of all projects to keep the information live.

  • Art - tidying up the Art Portal (1,000 pieces of art we can't locate, so working back to find them), working with the designers to get the art picked for any NB or Capacity Projects, raising orders to Monarch for the transportation costs Organising art for leavers or Nandoversaries. Overseeing the logistics to move the art from Monarch to Spye Park. Overseeing selling 75% of Nando's UK art stock to Malaysia, then the logistics to get the art over there. Any adhoc requests e.g. exhibitions, audits, repairs.

  • Art presentations - creating and sending out the art presentations for a NB - to be managed by Jo but will need admin support

  • Project Gantt Chart for the designers and suppliers to ensure allocation/programme and workload is clearly communicated

  • Handover files to be created for restaurant teams

  • Direct order forms for NB, Refurbs and Capacity

  • Creating restaurant numbers/budgets to ensure capex is spent

  • Allocating stock - furniture/catering equipment etc to projects and ensuring budgets are allocated accordingly

  • General admin and updating sharepoint etc, setting up house folders

  • Design trips - any logistical arrangements, creating restaurant info

  • Organise delivery schedules with Contractors for capex projects

  • Fill in police forms for intruder alarms

  • Invoice allocation from BEV

  • Update Restaurant info - Master spreadsheet, Access Maintain

  • Set up new restaurants and suppliers on PMPO and Access Maintain

  • Sort BACS and international payments

  • Sort and pay Gas and Electricity meters

  • Update Access Maintain with Trigger Sheet info

  • Support PMs with missing deliveries and commission of equipment

  • Manage Monarch furniture stock

  • Update cost per sq ft spreadsheet for MM

  • Get GAs, Electronic Presentations & A2 Presentations from Designers after design approval

  • Sort Site specific agreements for all sites and manage the process

  • Take minutes for Meetings as required

    Previous Experience/qualifications required
  • Excellent organisational skills

  • Good knowledge of Microsoft office (excel, word, project & powerpoint)

  • Excellent written and verbal English
