Full Job Description

  • Ensure excellent all-round customer service.

  • Handle customer queries both verbally and in writing.

  • Manage electronic data and emails, responding within 24 hours.

  • Answer phones within 3 rings as the first point of contact.

  • Raise complaints with contractors if work is unsatisfactory.

  • Oversee H&S, FRA, site reports, and lift engineering, ensuring reports are actioned with the property manager's supervision.

  • Complete minutes and site reports within 5 days.

  • Coordinate with property managers to approve orders and fees.

  • Uphold core values, fulfil commitments, and positively contribute to company culture.


  • Processing:
  • Set up and monitor insurance claims.

  • Write letters to leaseholders and residents about block issues.

  • Obtain at least 3 quotes for orders over £400.

  • Liaise with onsite staff and ensure they have necessary supplies.

  • Assist Property Managers with large projects.

  • Answer site-related queries and cover for Property Managers.

  • Save reports, emails, and contracts in QUBE.

  • Send updates via SMS and email for urgent issues.

  • Source local contractors and manage contracts.

  • Conduct site visits, take photos, and complete reports in 5 days.

  • Meet clients on-site for complex issues.

  • Reduce costs and improve service by building contractor relationships.

  • Contribute to monthly newsletters.

  • Update meter readings.

  • Re-tender contracts for best value.

  • Attend AGMs and client meetings; write and send minutes.

    This role is ideal for someone with a customer service background looking to transition into a career in Property Management., Eager to learn property management principles.

  • Highly motivated to improve and develop.

  • Strong interpersonal skills to understand customer needs.

  • Knowledgeable in QUBE and Excel.

  • Proficient in Microsoft Word.

  • Good written and verbal communication skills.
