Full Job Description

The Purchasing Manager is responsible for the effective fulfilment of direct supplier orders and indirect organisation needs. The role is responsible for the requisitioning and purchase of supplies and equipment for the Valeport business unit, which is a high mix, low volume technical company. The use of independent judgement and initiative is needed in the review of new suppliers, audit of existing suppliers, product specifications, quotations, and placement of purchase orders. The role also requires a strategic input on minimising inventory, maintaining, and maximising the use of the ERP system and developing new systems and procedures to improve purchasing at the Valeport facility. Performance of these duties requires a good working knowledge of purchasing procedures, MRP and experience in a manufacturing environment. Key Responsibilities: Manage the day-to-day activities of the purchasing team. Receive, check and process requisitions and MRP generated requirements subject to
required approvals and in line with the Corporate signature authorisation matrix. Ensure internal work orders are dealt with in an efficient and timely manner. Compare costs and evaluate the quality and suitability of suppliers, supplies, materials, and equipment. Work with the Finance team to ensure suppliers are paid on-time and invoice queries are resolved quickly. Prepare bid specifications and other necessary documents related to the purchase of supplies, materials and equipment. Management of and communication with suppliers; staying informed of new products, market conditions and trends. Develop and maintain a framework of suitably qualified suppliers, to support our material, facility and business needs in close conjunction with the Quality Manager and with any technical input as required. Participate in segment level sourcing and best practice initiatives. Maintain material availability data and feed into the production schedule, in conjunction with Production and planning to
enable accurate production planning. Support the sales team with accurate estimates for materials and deliveries to assist the bid & tender process on request. Assist with stock control tasks, interim count analysis, and data entry. Reporting summary data to the wider Operations and Finance departments. Keep up to date with progress on orders to ensure timely delivery and ensure the MRP system is up-to-date. Collaborate with the Valeport COO and other stakeholders to minimise inventory holding by the management of minimum order quantities, stock holdings at suppliers and other agreed means. Work to improve analysis of inventory held, minimise costs and make improvements wherever possible. Meet with requirements of internal and external audit examination. Ensure Purchasing procedures are followed, developed, and maintained in line with the Quality Management System. Qualifications & Experience: Previous procurement experience, preferred in a technical company. A background in mechanical or electrical engineering would be an advantage. Knowledge of office procedures and computerised order management systems - (IFS experience beneficial). Knowledge of category management of the suppliers and parts would be an advantage. Good written and verbal communication skills with an organised approach to work. Experience in working under pressure to tight deadlines with a meticulous eye for detail.
