Full Job Description

We are recruiting for a Quality Administrator to join our busy team at Littlemore Mental Health Centre in Oxford.

This is a fantastic opportunity to gain experience, exposure and knowledge of the Trust and our services, liaising with colleagues at all levels as well as external stakeholders.

You'll manage the day-to-day administration for the portfolios of the head of clinical standards and the head of patient safety and act as first point of contact for enquiries, ensuring clear and effective communication with internal teams and external organisations.

Your role will involve overseeing day to day running of administration processes, ensuring timely responses and actions, and preparing reports and minutes for local and regional meetings. Additionally, you will ensure there are effective systems are in place to manage all correspondence, including emergency and urgent contact with the service, incoming and outgoing mail, emails, and telephone calls, and these are dealt with promptly and efficiently

Main duties of the job

To act independently in managing the day to day running of administration processes.

To ensure data relevant to this role is collected, recorded, and audited in a timely manner and reported to the Heads on a regular basis through verbal and written reports.

Attending meetings as required and taking minutes for typing and circulating if necessary, ensuring that all information is readily available. Including managing MS Teams channels.

To assist with the production of reports on a range of quality and safety issues for Quality and Clinical Governance Sub-Committee and other meetings. This will include coordinating a quality bulletin and refreshing a clinical team service directory quarterly.

Ensure that effective systems are in place to manage all correspondence, including emergency and urgent contact with the service, incoming and outgoing mail, emails, and telephone calls, and these are dealt with promptly and efficiently
