Full Job Description

To undertake the supervision and training of clerical officers/receptionists and other clerical support services within the Radiology Department in order to ensure that clinics are running efficiently and effectively whilst maintaining data quality and training plans, ensuring confidentiality at all times. To ensure that all diary slots are booked and maintained efficiently and that appointments are offered within breach dates, Provide supervisory support to the Radiology Reception/Clerical Teams.

Develop and tailor training programmes to meet the requirements of the radiology reception/Clerical Teams.

Ensure that all staff are aware of and adhere to departmental policies and procedures and update where necessary.

Ensure all staff are aware of confidentiality issues, data protection and Freedom of information policies.

Ensure effective communication takes place with all staff in the department by holding monthly staff meetings, including the typing and distribution of notes of these.

To assume responsibility for managing the Radiology administration team in the absence of the Radiology Administration Manager, attending any meetings and undertaking duties as appropriate.

Assist in the recruitment, selection and performance development review process of staff within the department to achieve the objectives and standards required for a quality department.

Maintain the appropriate staff records and set objectives and personal development plans for staff as part of the annual appraisal system.

Undertake return to work interviews and the management of short term sickness absence within the department.

Encourage staff to improve their knowledge and skills.

To offer support, mentoring, advice and ensure the corrective guidance of junior staff, demonstrating an ability to motivate.,

  • Provide supervisory support to the Radiology Reception/Clerical Teams.

  • Develop and tailor training programmes to meet the requirements of the radiology reception/Clerical Teams.

  • Organise mandatory training for all staff and any other training required or requested

  • Deliver a comprehensive training package for Radiology staff, involving training in operational procedures on the CRIS system, in conjunction with the Radiology Administration Manager and the PACS Manager.

  • Work in collaboration with the Radiology Administration Manager to propose, develop and maintain procedures/protocols within the Radiology Department, ensuring information is appropriately communicated to all staff.

  • Ensure that all staff are aware of and adhere to departmental policies and procedures and update where necessary.

  • Delegate appropriate duties and provide guidance to staff to ensure the efficient running of the Radiology Administration Service.

  • Provide support and guidance to staff to ensure the provision of an efficient reception service for all patients attending the Radiology Department, including cancellation and re-appointment of Radiology Sessions.

  • Ensure all staff are aware of confidentiality issues, data protection and Freedom of information policies.


  • Work in collaboration with the Radiology Administration Manager to develop and support new ways of working to meet the changing needs of the service.

  • Participate in the management of change required to develop and modernise Radiology services across the Trust.

  • Liaise with staff of all disciplines within the Trust to ensure a high level of customer care whilst maintaining confidentiality at all times.

  • Undertake regular Audit's within the department to ensure high standards of Data Quality.

  • Deal with patient complaints in accordance with the Trust Complaints Procedure. Assist with investigations required for any IR1's received.

  • Maintain safe working areas in accordance with Health and Safety guidelines by reporting any faulty equipment and undertake regular departmental risk assessments.

  • Access National Strategic Tracing Service in order to maintain accurate patient details.

  • Order stationery and clerical supplies on a weekly basis whilst maintaining effective stock control.

  • Be available and aware of Major Incident procedures.

    · To act as a point of advice for imaging referrers and patient enquiries.

    · To communicate effectively with all service users.

    · To ensure that urgent findings are communicated, and patients are directed accordingly.

    · To liaise with other departments/wards within the hospital and various external sources in order to provide a quality service to patients and clinicians.
  • Ensure that incidents are reported to the Radiology Administration Manager accordance with trust policy.

  • Help Develop Radiology services in collaboration with other members of the team.


  • As a senior member of the clerical to offer support, mentoring, advice and ensure the corrective guidance of junior staff, demonstrating an ability to motivate, particularly by example.
  • To actively participate in the department's audit programme.

  • To provide training in the use of clerical equipment for other staff.

  • Advising on appropriate record keeping.


  • · To provide elements of induction training and support for other staff.

    Organisational Developments

    Help organise and manage the clerical workload.
  • To participate in the appraisal of junior staff.

  • Advise more junior members of staff about their quality of work.


  • · To assist in the planning and organisation of the workflow of the department.

    · To help maintain adequate levels of appropriate non-stock items.

  • To monitor and report deficits in the data integrity of the information systems in use in the department.

  • To report clinical, non-clinical and radiation incidents in line with Trust and departmental risk management policies.

    NVQ Supervisory management level 2 or equivalent

  • GCSE English C or above or equivalent
