Full Job Description
We are looking for a highly organized and personable individual to join our team as a Reception, Stores, and Accounts Assistant (Part-time). This varied role involves working in reception, providing support to our Stores department, and assisting the Accounts team. Training will be provided where needed, and the successful candidate will be part of a supportive and collaborative team., Reception ¿ Greet visitors and contractors, issue visitor badges, and notify hosts ¿ Handle incoming calls, connect internal/external callers, and take messages ¿ Process outgoing mail and liaise with courier services as required ¿ Distribute incoming mail and maintain up-to-date address lists ¿ Raise purchase orders on the CUF system using iProcurement.
Stores ¿ Issue stock, lab coats, and other items as needed ¿ Notify staff when their orders are ready for collection ¿ Receive and scan parcels into inventory ¿ Handle laundry processing for lab coats and other items ¿ Maintain stock levels by raising requisitions for the Department Buyer.
Accounts ¿ Open post, date stamp invoices, and file documents such as invoices and timesheets ¿ Cross-check invoices against Purchase Orders for accuracy ¿ Assist with financial audits by preparing documents for auditors ¿ Help with archiving financial documents at year-end ¿ Send weekly batches of invoices to shared services for payment
The ideal candidate for this role should have prior experience in a reception or customer service position, where they were responsible for interacting directly with clients or the public. They must possess excellent communication skills, ensuring they can convey information clearly and effectively. The role requires strong multitasking abilities, as they will need to manage various responsibilities simultaneously, such as answering phone calls, greeting visitors, and supporting staff. The ability to stay composed and professional in high-pressure situations is essential., Additionally, the candidate should be proficient in using Microsoft Office applications. In terms of qualifications, they should hold GCSEs (or equivalent qualifications) in subjects such as Maths and English, or an NVQ Level 2, or have gained relevant practical experience in a similar role.
