JOB TITLE: Receptionist (Clerical Assistant) DAYS: Monday to Friday HOURS: 35 hours per week (08.15am - 3.45pm - with a 30-minute unpaid lunch) TERM: 39 weeks per annum (Term time plus 5 INSET DAYS) PAY: Grade D Points 4-5. Actual salary of £18,722.63 per annum

You will join a solid, hard-working and most of all friendly team that the school community are extremely proud of. The strong, experienced and established team consists of an Office Manager, Deputy Office Manager, Student Services, Attendance Officer, Behaviour Administration, and a School Receptionist. Our School Receptionist will be leaving us for a period of up to 12-months and therefore we are seeking an individual that has excellent interpersonal and communication skills with our students, parents, school staff and external bodies who will join our team as soon as possible. If you have the above, our team can assist with training you with the rest, however, if you were proficient in word, excel and had previous school office experience this would of course be advantageous. The role will consist of: - Core purpose: - To provide a full receptionist/telephonist service and clerical administration support to the school. · To greet all visitors to Aylesford School and provide a high level of customer service (sign in our visitors using our sign-in app and iPad and issue lanyards). · Ensure that all appropriate DBS/ID information is photocopied and passed to the Office Manager for entry onto the SCR for any visitors that will be working with students. · To answer switchboard, take and pass on messages and deal with any enquiries in a timely, efficient and professional manner. · Take in deliveries/goods (signing delivery notes on behalf of the school) · Deal with associated administration, security badges, signing delivery notes, contacting caretakers to assist with big deliveries · Ensure the office and reception areas are attractive, welcoming and tidy · Show visitors around the school when required, or escort them for meetings if requested by the Office Manager · Support Student Services, with coordinating messages to be delivered to our students in class · Deal with routine enquiries, providing general information about the school and its activities - in person, by phone and by way of email · Support the HOY's as and when instructed by the Office Manager; this could be making phone calls and/or arranging appointments on their behalf · Assistance with the co-ordination and booking of Community Rooms and ensuring students attend meetings booked by HOSP's or SLT · Deputising for the Headteachers PA at staff briefings to take minutes, type them and present them for the Office Manager for checking and distribution. There are two weekly staff briefings each week. This will primarily be the Headteachers PA role, however, if they are needed in a separate meeting you will deputise this role. The Office Manager or Headteachers PA will inform you if this needs to be done. · The Post - Receiving the incoming post and parcels and dealing with outgoing post and taking to the Post Office (ideally) - Preparation of parcels and examination papers for collection by courier - Distribution of post to key personnel and staff pigeonholes. The Headteachers post and Senior Leaders post must be taken to their offices. Apart from working as part of our fabulous team, the school can also offer you the below benefits.
