Full Job Description

Flexibility and adaptability is essential as you will be responsible for a busy front desk due to three clinics running simultaneously, excellent interpersonal skills, Computer literate: Word, Excel, Email, knowledge of Electronic Medical Record systems, suitable client facing administrative experience.

  • To open administrative functions (reception, cash box etc).

  • Answering Telephone - receive and communicate messages for clinical staff and patients.

  • Booking appointments made by telephone or in person.

  • Ensuring effective diary management is achieved through appropriate booking.

  • To create and maintain confidential medical records.

  • To deal with all visitors and patients in a courteous, friendly, and helpful manner.

  • Enter and manage electronically based medical reports, letters, and documents.

  • To learn to use the Private Practice Software (PPS) through help, guidance, and coaching.

  • To take payment from clients based on the standard charge schedule on PPS.

  • To handle cash and credit card transactions in a professional and honest way.

  • To cash up and do the banking daily. To perform a daily cash reconciliation of takings against computer records

  • To write, print and post letters daily to those patients requiring contact.

  • To recall patients who have not attended for 6 or 12 months

  • To undertake 'Critical non-essential' duties as required.

  • To undertake ad-hoc cleaning duties to maintain the clinical / office environment

  • To type up and send doctor letters as necessary.

  • To facilitate the day to day running of the practice.

  • You will ensure that the company's USP is always delivered upon.

  • Flexibility to cover holiday for receptionists (to include changes to hours to cover clinics)

  • Any other duties as required.

    GCSE or equivalent (preferred)


  • Experience:
  • Customer service: 4 years (preferred)

  • Administrative experience: 5 years (preferred)

  • English (preferred)
