Full Job Description

Applications are invited for a Band 2 Receptionist to work in our busy Mental Health Inpatient service based at Guild Lodge in Whittingham to provide a comprehensive administration and information service across the service, and coordinate their activities with other members of the administration team to ensure an efficient and confidential service is provided.
The post holder will have knowledge of relevant customer service procedures applicable to this role. Problem solving is an integral part of the role.
The role will involve contact on a daily basis with a wide range of people - both internal and external to the organisation and therefore requires a confident approach. The post holder will need to be a team player with very strong communication skills.
The post holder will work flexibly in response to the needs of the service providing cover to various sites as directed by their line manager to ensure continuity of service provision.,

  • To communicate with staff, service users and visitors on potentially difficult, sensitive and

  • Complex issues. This will require a level of negotiating, empathy and reassurance skills

  • To maintain a high standard and professional reception service within base and locality

  • To maintain effective working relationships with staff at all levels, internal and external across the whole health economy

  • Demonstrate duties of role to new and less experience staff

  • Resolve day-to-day basic operational and administrative problems relating to reception and building governance with the support and guidance of the Locality Reception Lead.

  • Participate in the reception rota to ensure a reception service is available throughout the locality.

  • To cover during extended opening hours were applicable.

  • To provide a meet and greet service to service users, carers, staff and members of the public.

  • Work to agreed standards and SOPs.

  • The post holder will be required to follow policies and procedures within own service area.

  • Where applicable to assist with the petty cash function of reception, ensuring that policy and procedure is followed and information is readily available for audits

  • To assist in online stationery orders and monitor stock levels to ensure cost efficiency

  • Regular use of NHS IT systems

  • To ensure the necessary knowledge regarding the building, teams and services to allow a high standard of support to visitors
