Full Job Description

The Rossington Practice has an exciting opportunity for a part time reception/Admin assistant to join our team. We are a training practice and have around 8,000 registered patients. We have an excellent, supportive clinical team including 5 GP partners, 3 Practice Nurses, 2 HCAs, an ANP and an ACP as well as an experienced secretarial team and existing admin team., Duties to include

Plan & organise a Clinical Rota system (EMIS Web)

Processing and coding documents

Summarising Records

Tasks/Emails

Reception

Organising of filing systems and updating data

The role holder will be expected to provide general admin duties which may include, but is not limited to:

  • Organising of filing system Receiving & inputting & read coding of incoming mail & hospital correspondence, ensuring these are entered correctly into patient records. Assign to relevant clinical/administration staff group.

  • Filing & auditing scanned documents to ensure they are eligible & filed correctly.

  • General admin involving patient records

  • Complete electronic tasks in a timely manner, this may involve dealing with patients via telephone or sending letters/texts.

  • Ensuring all clinical appointment rotas are entered onto the clinical System ready for use 6 weeks in advance. Must have great attention to detail, be methodical and organised.

  • Reception duties - answering calls, dealing with the patients face to face. Other duties will include handling of repeat prescriptions to patients checking names & DOB etc.

    Applicants would ideally have experience of working in GP Practice in a reception/admin role, but is not essential as training will be provided. You will need to have good telephone and computer skills, be able to work independently as well as part of a team, and be flexible in covering for colleagues during times of leave as well as covering any out of hours provision that we provide.
