Full Job Description

This is a fantastic opportunity if you love working with people and providing great service to internal and external clients. You will act as an ambassador for Berenberg as first point of contact for clients and handle enquiries in a polite, helpful and friendly manner.

In this role you will be one of a team of three, supporting the client experience within Berenberg's London office. The reception operates from 0730-1730 Monday to Friday. The three roles rotate on an 8.5-hour shift basis.

What will you do?

  • Answer, screen and redirect calls as necessary, in a professional manner

  • Manage and oversee the booking of 30 meeting rooms

  • Proactively track changes and update Outlook invites to facilitate a single source of requirements

  • Manage the setup of client meetings and events including pre-event logistics, furniture changes, diary management, client registration, hospitality arrangements, IT requirements and, as relevant, ad hoc support e.g. additional housekeeping.

  • Complete throughout the day meeting room checks e.g. ensure all furniture in position / all IT kit incl cabling and controls are present etc

  • Complete VC requirements for meeting bookings (i.e. set calls up)

  • Day to day liaison with Hospitality to ensure all catering requirements are captured and communicated to meet business requirements

  • Security access pass management - issuing new, replacement and temporary passes as and when required by the business. Ensuring access passes are disabled upon notification from the Sailpoint internal system. Issuing a Door Access Audit report for the Head of Office Services on a quarterly basis (or as and when required).
