Full Job Description

Thamesfield Retirement Village, based in Henley on Thames is on the lookout for a weekend Receptionist / Admin Assistant to work 6 hours each day on Saturdays and Sundays 9am - 3pm. - Weekend Work

The successful candidate will be the main point of contact for residents and visitors, and will be responsible for creating a positive and long lasting impression of Retirement Villages. They will provide excellent customer service for all stakeholders, while also supporting the Village Management with administrative and housekeeping tasks.,

  • Welcome and Greet - visitors, guests and residents

  • Ensure all guests and visitors sign-in as appropriate

  • Answer incoming telephone calls and resident calls, forward and take messages as appropriate

  • Sort and Distribute post daily: manage and process the posts for Village Management and residents

  • Maintain the general tidiness of the reception area, liaising with the housekeeping team to ensure standards are maintained

  • Handle appointments for residents and family members (Restaurant, hairdresser, chiropody, Taxis etc.)

  • Co-ordinate the weekly online shopping service for residents, including collecting shopping lists from residents and arranging internal deliveries.

  • Maintain the resident Purchase Log and take payments using the electronic POS - to include newspaper, shopping, laundry, maintenance, hairdressing etc

  • Support in keeping all resident files up to date

  • Triage requests from residents, suppliers and staff

  • Support in Resident Move in and Out procedures.

  • Promote and update residents in all hospitality activities and events.

    Enthusiastic, proactive and personable individual who enjoys working as part of a busy office environment.

  • Previous administration experience, strong numerically and have a confident telephone manner with good communication skills, both written and verbal.

  • Good team player with a positive attitude

  • High level of attention to detail

  • Highly organised

  • Strong Excel knowledge
