Full Job Description

Your work pattern will be 8.30am - 4.30pm Monday-Thursday and 8.30am - 4.00pm on Friday, which are the office opening hours. As our receptionist, you'll be responsible for greeting visitors and providing assistance in person, over the phone, and via email. You'll efficiently manage incoming and outgoing correspondence, including sorting emails and promptly responding to inquiries. Additionally, you'll handle scheduling appointments and meetings. Assisting with data entry and record-keeping when needed will contribute to the seamless functioning of our office. Furthermore, you'll support the administrative team by tackling ad-hoc tasks and projects with enthusiasm and efficiency.

We're looking for candidates with previous experience in a receptionist or administrative assistant role, although it's not mandatory. Excellent communication skills paired with a friendly and professional demeanor are essential to the success in this position. Strong organisational abilities, coupled with the capacity to multitask and prioritise effectively are key. Proficiency in the Microsoft Office suite, including Word, Excel, and Outlook, are required. You should be comfortable working both independently with minimal supervision and collaboratively as part of a team. Flexibility to adapt to changing priorities and thrive in a fast-paced environment will be key attributes for this role.

You will have experience operating effectively as a member of an administrative team within a customer service environment. A flexible and resilient attitude in an ever changing environment will be vital, alongside organisation skills, excellent IT skills (including spreadsheets and databases), the ability to proactively identify and seek resolutions to problems, and ability to work within tight deadlines. Good communication skills, team-work and data reporting are essential.

Experience working in a medical or education function/environment (or equivalent) would be desirable.

You will be based at the student-facing Faculty Office in the John Bull Building, Plymouth Science Park, Derriford although occasionally travel to other sites (primarily the University Main Campus) may be required.
