Full Job Description

  • The purpose of this role is to provide a high-quality reception and administrative service, so a friendly and professional client facing manner is essential.
  • You will be responsible for the meeting and greeting of clients - supplying refreshments and receiving deliveries.
  • Management and coordination of all meeting rooms. Ensuring they are presentable, well stocked and equipment is fully working and organising catering when required.
  • You will be responsible for all client areas such as Reception, restrooms and cloak rooms are in a respectable condition and fully stocked. You will be responsible for ordering supplies for this area in conjunction with the Facilities team
  • You will be the first port of call for client walk-in enquiries, and you will assist the legal teams in administrative tasks such as the scanning and distribution of both physical and electronic documents and letters and assisting collections; as well as providing other administrative services as required by the client services manager.
  • You will cover incoming calls on an overflow basis as required in a timely, professional, friendly and courteous manner.
  • You will be conducting both First Aid and Fire Marshal duties (including any relevant training)

    The ideal candidate will have excellent interpersonal and communication skills and a focus on quality client care. You will ideally be used to working in a busy legal or professional services firm.
  • The position would suit someone who is highly organised, accurate, proactive and who is also approachable and flexible. A 'can do' attitude, the ability to multitask and a keen eye for detail is essential.
  • You should be used to dealing with a busy and varied workload with the ability to remain calm under pressure
  • You will be a confident IT user with good working knowledge of MS Office i.e. Outlook, MS Word and Excel.
