Full Job Description
The Receptionist/Administrator will play a crucial role in supporting daily administrative operations and serving as the first point of contact for visitors and clients. This role includes coordinating health and safety tasks, handling fleet administration, maintaining company records, and supporting HR and payroll tasks. The ideal candidate will be detail-oriented, organised and capable of multitasking in a fast-paced environment. Tasks and responsibilities -
- Handle incoming calls and direct inquires to the appropriate departments.
- Maintain updated company insurance and policy information.
- Raising/Booking in purchase orders as and when required.
- Record employee holidays, sick leave, training, and other absences in the Attendance Planner, Actin Time, and HR system.
- Update the Accounts Department with the attendance data for payroll updates in Sage.
- Add new employees and temporary staff to Actin Time, Efacs, and issue clocking fobs.
- Assist with new Employee Onboarding, issuing Packs and updating attendance and HR Records.
- Record all workplace accidents in the Health & Safety database and Group Accident Records.
- File vehicle mileage logs received from drivers and installers.
- Book hire vehicles and manage insurance declarations for hire vehicles, updating TFL Congestion Charge and Dart Crossing accounts as needed.
- Support payroll processes by providing accurate attendance data and coordinating with the Accounts Department on payroll records.
- Coordinate training and health surveillance bookings, supporting ongoing training initiatives and employee compliance.
Education: Minimum GCSEs or equivalent; additional training or qualifications in administration, HR, or office management is advantageous. - Experience: Proven experience in administrative or receptionist role, preferably within manufacturing or construction environments.
- Organisational Skills: Excellent organisational and multitasking abilities to handle a variety of tasks efficiently and accurately.
- Attention to Detail: Strong attention to detail in recording data, managing schedules, and maintain compliance records.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Actin Time, Sage, or similar HR/Payroll systems in beneficial.
- Communication Skills: Clear and professional verbal and written communication skills for effective client and team interactions.
- Problem-Solving: Proactive problem-solving skills and the ability to address issues promptly and professionally. Preferred Skills:
- Knowledge of Health & Safety Protocols: Familarity with basic Health & Safety requirements in manufacturing environments.
- Team Collaboration: Strong interpersonal skills to work collaboratively with departments, such as HR, Production, and Accounts.
- Fleet Management Experience: Experience handling vehicle administration tasks, including maintenance coordination and insurance update.
