Full Job Description

The reception team are the first point of call for visitors to the school, parents, staff and children. Working in the Main Reception, they should be welcoming, personable, helpful and able to represent the school in a professional and friendly manner. In addition, it is essential that the person for this role is organized, able to multi-task, work flexibly and have a 'can do' approach to work as no two days are the same. Full training can be provided.

Reception

· To be the first point of contact for visitors to the school, extending a warm welcome to parents, visitors, contractors and delivery staff

· To deal effectively with telephone calls, transferring callers to relevant staff and taking and passing on messages as required

· To follow safeguarding procedures by issuing passes and lanyards to visitors, ensuring that visitors are signed into the school

· Communicating with parents regarding all aspects of school life, receiving and passing on information between parents and staff in a timely manner with minimum disruption to lessons

· To ensure that the reception area remains tidy, and that literature and forms are updated and replenished as necessary

· To provide postal duties including the collation and dissemination of post to staff, preparing letters and parcels for posting and arranging collection when required

· Dealing with ticket sales and general queries in relation to events held at The Barn

· Meet with potential hirers of The Barn including tours of the venue and answering basic questions

General administration duties

· Make absence calls to parents and update the MIS system as required

· Maintaining and updating school information, records, and databases

· Assist with the ordering and delivery of stationery items and resources and ensure stock levels are well maintained

· Assist with visits by the school photographer, school vaccination team and visitors for wider school events including welcoming, registering, and directing to the relevant areas of the school

· Manage evacuation lists for fire or emergency evacuations as required and register all visitors during an evacuation

Receptionist - We are seeking to appoint a part time receptionist who thrives in a busy, fast paced and supportive working environment. The successful candidate will have the qualities to prioritise workload with strong attention to detail and a flexible attitude, remaining calm under pressure. The role requires someone who enjoys working with others and can develop strong working relationships with staff and a great many families. Training can be provided.
