Full Job Description

We are seeking a highly organized and personable Receptionist and Facilities Administrator to join our team. This dual-role position is responsible for front desk operations as part of a small team and overseeing the maintenance and functionality of our office facilities. The ideal candidate will be a proactive problem-solver with excellent communication skills and a keen eye for detail. As Receptionist & Facilities Administrator, your work will focus on these responsibilities:

  • Operate the telephone switchboard to answer, screen, and forward calls, providing information and taking messages.
  • Process incoming and outgoing mail.
  • Greet and assist visitors, maintaining a neat and business-like reception area.
  • Perform administrative tasks such as operating copy and fax machines and maintaining the conference room schedule.
  • Manage office space planning and allocation.
  • Manage facilities, including coordinating maintenance and repairs, ensuring the office environment is clean and well-maintained, and liaising with vendors and service providers.
  • Work with existing reception staff to ensure full coverage and support.
  • Provide administrative assistance to the board of directors as required.
  • Assist with travel plans, both domestic and international, for board directors and specified key members of staff.

    Excellent communication and interpersonal skills.
  • Proficiency in operating standard office equipment.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and manage time effectively.
  • Basic knowledge of office management systems and procedures.
  • Preferred Experience:
  • Previous experience in a receptionist, administrative, or facilities management role.
  • Familiarity with office software (e.g., MS Office).
