Full Job Description

Well-presented, professional and extremely organised, the receptionist performs various administrative tasks, assists in the organising of events and is responsible for the day to day running of the office. They help flag any general office or working space issues and are solution-oriented and proactive in their resolution and use their initiative.

- Overall, the receptionist ensures the customer service meets and even exceeds UNIT9 Group's standards, continuously suggesting ways to improve.

Tasks

Customer Service

- Meet and greet clients, suppliers and staff, in a friendly and welcoming manner, acting as point of contact and Front of House for the businesses.

- Answer the phone and pass on messages.

- Communicate any necessary office updates and relevant information to the staff.

Administration

- Take deliveries, sort and distribute post, arrange courier services when needed.

- Responsible for office supply inventory, orders and budgets.

- Monitor and gather information to determine the best service providers.

Office Environment Maintenance

- Responsible for ensuring the office is opened in the mornings or secured in the evenings.

- Ensure, in collaboration with the IT Support team, meeting rooms are set up, tidy and functional before meetings.

- Assist the Office Manager with Facilities oversight.

- Support room bookings for client meetings, workshops and key internal activities.

- Ensure communal areas including the bar, reception, kitchen and meeting rooms are kept tidy at all times.

- Oversight of food orders; conducting inventories and orders, replenishing food and beverages, putting shopping and deliveries away, making sure we never run out of anything.

- Responsible for tracking food budget.

Events

- Work with the communications director and managers to help oversee special events, assisting on organisation, setting up and clear down.

Experience

Experience in a similar position is an asset.

Role & Responsibilities

- The receptionist works for UNIT9 Group's head office at Swan Yard in Highbury & Islington.

- Their main responsibility is to establish the first contact with clients, external and internal, in person and over calls. Friendly and helpful, they create and encourage a positive atmosphere in the office and go out of their way to make everyone feel special and looked after.
