JOB TITLE: RECEPTIONIST REPORTS TO: RECEPTION TEAM LEADER/PRACTICE MANAGER/THE PARTNERS Administration To have a thorough knowledge of all Practice procedures. To work in accordance of written protocols Ensure courier takes all documentation and samples at the appropriate time Reception Ensure an effective and efficient reception service is provided to patients any other visitors to the practice Deal with all general enquiries, explain procedures and make new and follow-up appointments Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed Processing paper repeat prescriptions requests Be able to cover all reception position as necessary Take appropriate payments for Non NHS work Opening and closing the reception area at the start
and end of the day. Record daily fridge temperatures and log results on Clarity Follow Fire Evacuation duties in case of Fire. Appointments Process appointment requests for today and future appointments from patients by telephone and in person. Be confident in cancelling and rearranging appointments due to staff shortages Computer Registrations of new patients computer data entry and medical records. Process patients change of address on computer system. (have knowledge of Practice area). Action tasks within the reception task group and any tasks sent directly to yourself in a timely manner Process online prescription requests Follow the deductions protocol when patients leave the practice. Follow the death protocol to deduct deceased patients. Telephone Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery Have working knowledge of telephone systems. Liaise with other Healthcare professional and agencies
via our dedicated Healthcare Line. Forward calls to the appropriate staff member i.e Management, Secretary, Administrators and Clinical Pharmacists when necessary.
