Full Job Description

Here at VIVO we are looking for a Reconciliations Finance Assistant to support with our Financial and Commercial team, by assigning billable expenditure to a funded Task from the Customer.

Working from home, this role will see you working closely with the Finance Manager and Assistant Finance Business Partner to further confirm if the Task has been invoiced and paid for. And if not, to identify and liaise with the relevant teams to ensure the correct actions are taken to recover expensed money in a timely manner.

As part of the role you will be responsible for the preparation of the 2024 YTD expenditure by using supplier schedules to identify each line item a Task number to ensure the recovery of expenditure from the Customer.

You will be working with the Commercial and Finance teams as necessary to resolve expenditure which does not have a Task number, including liaising with them to identify how the expenditure can be recovered. You will also ensure that the supplier schedules are consistently updated to reflect new information, ensuring it is up to date.

You will be validating the accuracy of ledger postings, to ensure that costs are coded correctly, and ensuring that the expenditure is a Billable cost.

In addition to this, you will also support the Finance Business Partner with any ad hoc or project requirements that don't fall under the monthly BW schedule cycles as necessary.

First and foremost, it is essential that you have experience working and handling with large sets of incomplete data. You will need to be able to complete reconciliations with incomplete data and be capable of undertaking proactive and investigative work to find data that is not readily available.

You will need to be IT literate, with experience in using excel to manipulate and present complex data concisely, as well as able to produce reports with a high degree of data accuracy and integrity. As this role requires managing relationships across the team and managing stakeholder expectations, it is essential that you are a confident, effective communicator.

You will also need to be able to travel to site based meetings, so it is desirable you have a driver's license.

You must be able to pass BPSS Clearance to be considered for this role.
